i work in a school, and we recently had a bizhub c452 installed,i have noticed on some of the school pc's you cannot send to print both login boxes are greyed out, but on other pc's send to print works after login from pc to print, running xp and win7 pcs

What login boxes? On the printer driver? Or elsewhere?

when im at the pc and using ms word and go to print file im taken to printer options then i have option to use password authenticate but they are greyed out
i can see konica as default printer.

I believe you need to go to the driver properties and activate user accounts.

1. Printer Properties (of the driver in question)
2. Configure
3. Obtain Device Information
4. Apply

This will enable the Account Track or User Authentication, depending on which option is in use on the machine.

many thanks for reply, may i also ask if is their a universal driver or do i need specific drivers for either xp or win7 if so can you give me a link to both please

Thanks for elaborating. I'm a lazy slob. :)

As for the driver, with KM machines I believe you need different drivers for XP and 7.

Select the model, select the operating system, download file. Shouldn't be too hard.

ok i have the driver installed on the pc, i have the printer installed is i can see the printer in properties etc, the printer is on a network.
now when i go into printer properties/basic/ authentication/account it greyed out i cannot enter my password for the printer, i cannot see printer in device manager for its driver, so how do i get the greyed out part to be seen so ican fill in my password and start printing, please excuse my greeness

Go to your Printer's folder on Windows, right-click on the printer driver, select Properties (or Printer Properties, if you're using Windows 7), and then follow TheOwl's advise above.
