if you are talking about the document server, yes, that needs to be printed out so it can be rescanned back into new mfp
Or you can login into the machine via web image monitor and download the scans in document server to a pc
before removing the HDD

I may have stated that question incorrectly. I'm not concerned about saving this customers files.I was wondering if any operational info needs to be saved. Will the machine operate for the next person that uses the machine after replacing the HDD. Does this machine formatt the new HDD when installed?
there will not be an issue for the next person if you replace the hdd. if it needs to be formatted, it will says so when you power on the machine for the first time.
I take it that the existing customer is concerned about someone being able to recover data from the old HDD. Remove the HDD while the customer is watching and give it to them. The customer then has 3 three options:
- Have their IT personnel erase the HDD to their satisfaction and return it to you to put back in the MFP.
- Provide you with a HDD of the same or larger capacity to put back in the MFP.
- Pay your cost of replacing the HDD so that you can resell the MFP.
As far as the MFP working for the next customer, when you power on with a new HDD installed, the MFP will detect that it is new and prep it for use. With some models, this may require powering off and then restarting a second time. Some options such as Data Encryption may require reinstalling.
