    C6004: Scan to e-mail with Office 365

    Good evening guys

I'm trying to setup scan to email on our Ricoh MP C6004exSP.
I've found a lot of forum threads about it but none of them exactly covers my problem.

We use our printer with user codes, so every user is registered in the address book of the printer (including their email address).

For the SMPT settings I activated SSL 3.0 and used the following settings:
    SMTP Server Name: smtp.office365.com
    SMTP port: 587
    SSL: on
    SMTP Authentication: On
    SMTP Auth. Email Address: printer@mydomain.ch
    SMTP Auth. User Name: printer@mydomain.ch
SMTP Auth. Password: ******* (It's the correct password)
    SMTP Auth. Encryption: Auto-Select

Now to the funny part of the story:
With these settings scan to email works just fine BUT only when I'm logged in as user "printer" with the registered email-address "printer@mydomain.ch" in the address book.

When I login as User1 (registered email-address in address book: user1@mydomain.ch) I get an error while sending.

So it looks as if the printer is using the email-address of the currently logged-in user to authenticate on the SMTP server instead. How can we force the printer to always use "printer@mydomain.ch" regardless of what user is logged in?

Or do you have any other tips?
    I'd really appreciate your help.

    Best regards
    LS

you will need to set the admin email address and set auto specify senders name to on. this setup will only work using the same address you use for authentication as sender.

As Choro1dal says, set SP 5860-022. This forces compliance with the requirement to have sender name and authentication name match during authentication only. Sender name is set to authentication name.

This is only needed when you have an authorized user who does not have his/her own email address entered in the address book or you do not require user login to the C6004 and you do not want to have to Select Sender.

For office365, the senders address has to be the same as the one used for authentication.

You guys are awesome, thanks a lot!

For others, this is how I got it working.

    SMTP Settings
    SMTP Server Name: smtp.office365.com
    SMTP port: 587
    SSL: on
    SMTP Authentication: On
    SMTP Auth. Email Address: printer@mydomain.ch
    SMTP Auth. User Name: printer@mydomain.ch
    SMTP Auth. Password: *********
    SMTP Auth. Encryption: Auto-Select

    In Service Mode
Set SP 5860-022 to on (1)

As far as I have tested, it doesn't matter what e-mail address you put in for administrator e-mail.
The e-mail is beeing sent from the address you specify in the SMTP settings.

You obviously are unable to understand the complete reply that I made so let me clarify. The first part of my post referred to Choro1dal's post to use SP 5802-022. SP 5802-022 forces compliance with the Office365 authentication requirement regardless of the sender name. And FYI Office365 is not the only SMTP that requires this. Many non ISP email servers such as AOL and Yahoo will bounce email that do not meet the same standard. This was an industry standard made to reduce SPAM.
