Just one last thing, do I need to do all the firmware files that are listed or just the relevant ones ie:system/copy and engine.

Just what is relevant. For instance, if you have the FCU firmware on the card, but you don't have a fax on the machine, it won't even allow you to install that firmware.
NEVER ASSUME ANYTHING
That's one reason I would download the lot. Takes a bit longer, but at least you don't have to read ALL the release notes, also you won't get caught short at the customer when you do need something and have a slow connection or when someone calls requiring firmware on a machine WITH all the options next week it's a fair bet you have it all.
ok so I download all the firmware files from tessa' unzip them put them onto an sd card under a romdata and download the lot to the machine irrespective of wether it needs it or not?
Put the .fwu files in the romdata folder.
If you have all the firmware on the SD card, the machine will see firmware ONLY for the options that are installed.
It will list its current level on the left side of the op panel and the SD card level on the right. This will display even if the version is the same or older on the SD card.
To downlod simply highlight the SD card level and follow the indication on the panel.
Check the release notes for System / Copy and Engine and load in the correct order if instructed.
There will probably be more than 1 page of updates, look for an incon on the left(?) to scroll to the next page in the list.
These machinnes are much easier and safer than the older models. I'm sure that once you see the lists on the machine all will become clear. It's difficult to make a mistake as if you have downloaded the wrong firmware it will either not be recognised or will show as older than the version already on the machine. Just allow plenty of time and load one unit at a time and all should be OK.
Oh hello!
