    how to create the password to block the colour and for those who need to print colour and they need a password to access the colour ?

    This info is in the User documentation that you will need to read for full details, but basically it is a three step process. Step one is to enable User authentication (User Codes) in User Tools/System and then highlight the particular function(s) you want to restrict. In this case, select Full Color/Auto Color/.... for the copy section and also select the Printer as requiring authentication. Step two is to create User accounts in the Address Book -Name, user code, and highlight the function that the user code will have rights to. In this case, you only need to select the color feature as well as the printer. Step three is to add the code to the print driver (valid access) to those that require it. If you're really concerned about unauthorized users making color copies, enable the Document Server to require a code. Sooner or later, someone without a code will figure out they can scan to the Doc Server and print it right back out in color. The mfp will keep track of all copies/prints and the log can be printed out from the address book.

    Don't forget single color also....... other wise they could print/copy in a single color.

    thanks for ur reply,but what my client request is they wan to let the B&W free to use without any usercode which mean anyone can use directly,only when u print colour and then u need the usercode.isnt possible to do this?

    It won't require a user code if you don't select B/W in step one, only the color choices selected will.

    From the User documentation Security Reference......

    1. Press the [User Tools/Counter] key.
    2. Press [System Settings].
    3. Press [Administrator Tools].
    4. Press [User Authentication Management].
    5. Select [User Code Auth.].
    6. Select which of the machine's functions you want to limit in Copier, Printer and Other Functions (those NOT highlighted will not require a user code)

    • Restrict all= B&W/Single Color/Two Color/Full Color
    • Single Color/Two Color/Full Color
    • Single Color/B&W
    • B&W
    • Full Color

    7. Select the "Printer Job Authentication" level (Select "Entire")

    Next step is to setup the users in the Address Book management section....

    1. Create User account(s) by selecting " Program/Change" to add a new user, fill in the name in both boxes.
    2. Select the "Auth Info" tab
    3. Input a 4-8 digit user code in the User Code box and then press "#"
    4. Scroll to the next page (or two) and select the available functions for this user (should match the functions you selected in the first step). If you select a function that was not restricted earlier, it will have no effect.
    5. Press "OK" and exit (add more codes if needed)



    Final step is to add the User code to that persons print driver (in preferences, look for Valid Access - If using the Universal driver then I believe it's in Job Setup). If a user attempts to print a restricted job (Color) and does not have a valid code or no code loaded, then that job will get dumped with no error.
