TopAccess Scanning Templates - Possible To Import?

We have many Toshiba copiers in our firm, all of which are capable of scanning.

We are in the process of setting up templates on each copier, one per user, so that when the user scans using their template, the scan is saved to a folder personal to the user. This works fine.

However, it is painfully tedious setting this up for 100s of users, and that's just on one copier!

Is it possible to create some kind of template which can be applied to all copiers to save me having to do the same thing so many times on each and every copier?

I can't see anything in the TopAccess manual, other than importing users, but from what I can see these are in no way related to the scanning templates

Any help greatly appreciated

Once one machine is setup there is a way through top access to export and re-import this info. You can not do this from a b/w to a color machine but most b/w can go to most other b/w. Which model machines are you working on?

I don't think this is a model specific query. However, one example of our hardware is:

Toshiba e-Studio 850, copier rom version 390M-14, firmware version T390SY0E320

There is no network issue. My question simply asks if it is possible to do some kind of import of scanning templates to save me having to repeat the same settings 100s of times per copier.

In case I wasn't clear in the first post:

We have 5 Toshiba copiers. All can scan.
We have configured a scan template for each user, with the option to scan in colour, B&W, double and single sided. The scan is saved to the users network directory.

This is a lot of work when there are many users. I would like to know if I can do the work on one copier, export the templates and then import them to another copier.

Or, is there a better way of allowing users to scan. Please note that our users will not be willing to start typing in folder paths etc in order to save their scans.

Thanks Mr Spock. Maybe this is model specific

The other models are eStudio3510c and eStudio 4511

Do you know how to export the templates? I have only seen the export option for user setups, which only includes their names and a few other details, but nothing about templates

I have exported the file before but when you look at the file it is not plain text it is in some proprietary Toshiba format. This was a couple months ago working on the same thing with one of our customers. We were left with the answer that there was no way to import templates, only to back them up. Some models are capable of scanning to a windows home directory. You may have to update FW and then there are instructions your service provider should have access to which can guide you through which machines will and will not work and what setup is required including the FW versions. This would bypass setup of templates completely. I believe 3511 will not work with this. 2500c should work, 850 I'm uncertain about... there is a bulletin your service people will have access to that explains it all.

I could be wrong and if so, someone please let me know, but I couldn't figure out a way to create templates on a computer then upload them to a copier.

I believe you can not import templates from say ebridge v1 to ebrdige v2 or v3. I have run across a situation and if I remember right it was going from like a 3511c type architecture to a newer 4520c. I think that's why Spock is asking about what models you have. It's simple to try though under your TopAccess>Administration>Maintaince>Import OR Export. If it works it works and if not you will know you have two incompatabile architectures.

TopAccess - Admin - Maintenance - Backup

Go to this and you will multiple bits of information that you can backup. If you only want the Templates, then just back that up, but if you want the Templates and the Address Book, then do a combined backup.

Once the backup is done, you will that there is now a file created, next to the type of backup that you wanted. Right click on this and go save target as. Make sure that you save the as a *.TBF (for e-Bridge 1) or *.ENC (encrypted backup file for e-Bridge 2 and up) as IE sometimes tries to save it as an HTML file.

TopAccess - Admin - Maintenance - Restore

Go here to put the previous file that you backed up on other the other machines. Browse for the TBF or ENC file that you backed up in the correct field and then upload it to the machine. Then you will find that there is a file next to the field that you upoaded to. From here, check the little box next to the field and then click the Restore 'Button' at the top and this will restore the previous Templates or what ever you backed up to the new machine.

Be careful when doing this as the Firmware versions of the machines need to be similar. The Templates are model specific, they are Firmware specific. If all your machines are running version 3 or later (as you mentioned your 850 is) then you won't have an issue.

Also, I have been advised by Toshiba that you shouldn't try to upload a colour machines templates to a B&W machine and vice versa.

One problem that you are going to have is that the e-Studio 4511 is different to the rest of your machines. It is only an e-Bridge 1 and you won't be able to create Templates to put on that machine other than from another e-Bridge 1.

You right in that you can't create the Templates on a computer by editing the TBF file. Even though it is in plain text, you notice a Checksum number near the top. The only way to create this checksum to validate the file is through the copier.

I have previously asked Toshiba for the checksum key so that I could write a little program to create Re-Rite templates, but it isn't a common checksum. It is acctually Toshiba proprietry which means that no one is going to get it.

Ok, thanks for the replies.

I think, based on the information given by you all, that I would be as well just re-creating the templates as I've checked the firmware versions of the various copiers and they are all quite different.

Thanks for all the tips though. Have to say I'm surprised Toshiba hasn't provided some sort of default template whereby you set the defaults and then each new template you set up takes those default values......
