    Short Term Copier Rentals

I need to purchase a new 2023 A4 colour copier with 2nd paper cassette and copier cabinet with Wireless capabilities for frequently renewing trade show events. The events might last three days to a week.

I know most copier businesses will rent used copiers but they often do not have wireless capabilities.

I also realize that a big part of the cost of any rental is to get the copier(s) to/ from the venue. We prefer to use a low cost 3rd party for inter city delivery to a downtown convention center.

On a new copier with a dealer cost of $2,700.00 what % of the value would you try and recover in your first few rentals and be competitive? I am thinking 20% ($500.00) plus cpc and delivery charges.

I would want to get 20 rentals out of this copier over a couple of years before I replaced it.

It occured to me that I could lease this copier to myself for $67.00 per month x66 with a $10.00 buyout preserving my line of credit with my OEM. That includes an extra 18k of CMYK toner.

I am also thinking, since most conventions and trade shows provde a free wireless internet conection to all attendees and display booths, would it not be easiest to configure the copier to connect to the convention centers open wireless router?

I am not concerned about security or unauthorized people printing to the copier.

That should eliminate the need to lease/buy a new copier since you connect a used copier to their wifi via a wireless access point.

Also, why would you want to lease a copier with the high interest rates?

Leasing preserves capitol. I am OK with $67.00 month beause the potential monthly reward is much higher.

I need to spend a day reaching out to all of the Convention Center managers to let them know my services are available. I need to tweak the SEO on my website to include convention rentals.

Lease rates are not that much higher than pre COVID.

My current A4 rentals are are more than five years old, were never that great a copier and had a flaky toner system that was expensive to replace. They still have value and I need to experiment adding a non OEM access point to them.

I hear ya, man. Sounds like you've thought this out. Good luck.

In our area most of the dealers no longer do short term rentals. I do quite a few. Mainly to the Air and Navy National guards. It's a pain in the ass because we have to be escorted in and it's in the middle of nowhere.

I have lots of hotels and convention centers in my area. It can be quite good money.

An intersting look at what Xerox says:

Printer Rental and Copier Rental - Rent a Printer for Events - Xerox

... they offer way more than what I can provide.

The only hassle I've seen with some of those wireless networks is they have a captive portal where you need to accept the T&C in order to connect. Depending on the MFP it may be tough to get past that restriction. Overall, good luck!

The Toshiba wireless option offers Wi-Fi Direct. This allows users to access the Wi-Fi Direct mode to connect from their computers or smartphones directly to the MFP not through a network.

This avoids dealing with any hotel WiFi passwords, adding 3rd party wireless routers or running any network cabling.

The user will still have to be provided with a Username and Password to access the Wifi Direct mode.

                    Re: Short Term Copier Rentals

I tested the Wifi Direct option, printing directly to the copier from my Android phone, not using my office WiFi, with the network cable unplugged to a Toshiba e2505AC and it works.

I plan to create a "How to" for both Android and iOS and embed it into the eFiling function of the copier so that the attendees can easily print the instructions on demand.

I tested the same on my Win 11 Pro laptop and it works. You can take any print driver/ any OEM and select the port that the Wi-Fi IP address of the copier is pointed at. I do not think you have to download the specific Toshiba Unveral 2 print driver.

I expect there will be some Microsoft Surface tablets at any convention or trade show to deal with as well.

Our fiirst convention with this new Wi-Fi set up is next week so we will soon learn the successes and pitfalls.

We will charge $500.00 for the three day rental.
