    Billing for excess toner usage

    Does anyone actually charge for excess toner usage? We are noticing a big loss on supplies and are rewriting our maintenance contract. Im just wondering how other Busineses do it. Do you charge per bottle of toner or a percentage? Or do you alert them that they are ordering an excessive amount and refuse to ship?

    We don't charge but we should. We just don't have a good means to track it. I also see toner hoarders all the time. Very often when we pick up a machine at the end of life or end of lease and we open the cabinet or question the customer we find a pile of new toner cartridges.......$$$$$$$$ People are lazy and they re-order instead of looking in the cabinet or closet or they order two every time they put one in.

      We just started using eAutomate program. it has a modual that we can monitor the toner usage. We can set the level of remaining toner to 25%-5%. when the machine hits that level it emails us.
      we then automaticaly send toner. Its a great way to monitor the toner going out. at one time on color machines the client would call and we would send out all 4 toners for the color machine, only to discover
      that they have 6 to 10 bottles of toner sitting there.
      not any more.
      now what happens, if they are behind in billing we dont send any toner out and they dont have stock piles either.

        How does it monitor toner usage? By the amount send out to the customer related to monthly counter readings I presume? Or should there be an on-line connection to the machine?
