Re: creating new Gmail accounts for scan to E-Mail
Zero email information means you can't complete install
You can't guess the password HA been there done that
Just like if the PCs were restricted and need an administrator password..to install print drivers.
Get to the office manager or boss at the account and explain what you need usually it gets resolved when your at the account done hundreds of installs everyone is different once in a while you get a text book install but most are what we called goats HaLeave a comment:

Re: creating new Gmail accounts for scan to E-Mail
No setup = no money + customer complaining to salesman -> salesman complaining to boss -> boss complaining to me that I don't make any effort and I need to go back and finish the installation and that I can figure their password (true story).Leave a comment:

Re: creating new Gmail accounts for scan to E-Mail
Half our customers are small business who either use Gmail or don't know who has access to their OVH account to create a mail ...
For example tomorrow I'm supposed to install a new Sharp in an office with 40 users, I asked for SMTP and shit one week ago, still no answer and ofc they'll all want to scan the instant the copier is on.
Just ask when onsite for IT contact information
We never used forms as 99,% of the time the information was incorrect
No worriesLeave a comment:

Re: creating new Gmail accounts for scan to E-Mail
But once again we fall in the awkward situation where the customer want to scan to his mail, as promoted by the salesman, but doesn't understand when you ask him for the copier mail and SMTP.
I'm going to update our "Setup Information Collection Sheet" (don't know how you call them exactly, we use FCI for Fiche de Configuration Informatique), probably with Microsoft or Google Forms, and especially I'm going to put in all caps that we need mail information, but I'm pretty sure they won't complete it and once again I'm getting fucked.
Usually they have a person that sets that up or IT dept or have a info or sales account we can use.
Just askLeave a comment:

For a business, the best option is for them to subscribe to a Google Workspace account. Send email from a printer, scanner, or app - Google Workspace Admin HelpLeave a comment:

Yeah this doesn't seem to work anymore, or it will work for a day and Google will disable the account. You can re-enable the account but from that point forward it will no longer accept an app password as a valid authentication method even if you create a new app password.Leave a comment:

Re: creating new Gmail accounts for scan to E-Mail
We definitely do, but when installing a new copier for a customer, we provide 2 hours (for two weeks) of limited IT support for free (installing drivers, pinpoint scan, etc). Until now, spending 5 minutes creating a gmail account for scan to email when needed has been included in that and has worked quite well. However if I need to start using our company's SMTP server for those special occasions where the business uses personal email accounts and has no IT, then we may need to start charging a small monthly fee for that.
I know you had mentioned using the customer's ISP provided emails. Here in Omaha most people have Cox and even using the ISP provided email on their workstations is terrible. Far too often customers complain about sending emails and the recipient taking hours or days to receive them (whether sent from the copier or their computer). So unfortunately that's out. However that may change soon as I recently read Cox emails are being transferred to Yahoo Mail.
