mo2852 scan to email internally only

hi, i have a customer who has a mp2852 and is set up to print locally from various pcs and they asked for scan to email. i made all the settings required DNS,DOMAIN NAME,SMTP SERVER,DEFAULT GATEWAY. scan to email works when an email is scanned to an internal email address but fails when sent to an outside email address. as far as i can tell all the settings on the mfp are correct. their IT say its a setting on the machine but i asked if the server needs some settings changed to allow the email to be sent out from their corporate network from the mfp. they tell me they are using a windows small business server. does anyone know if there are any settings on the servers which stop scanned email going outside their network? i think because the email does send but only internally all the settings on the mfp are correct and the cause is on the server. any suggestions would be most welcome. thanks in advance.

They need to turn on relaying on the server, its not the copier.

thanks tjvincent for your reply, i went back this morning and the scan to email is working and sending out emails to all addresses !!!! i asked if they've changed anything and they said no. I do remember setting a mfp up for scan to email previously and again it didn't work then the customer calls me a couple of hours later saying they've received all the test scan emails that were sent earlier and everthing works ok. Maybe theres a delay in communication with a new set up or something, anyway its all good now so if this happens again i'll tell them to wait a few hours for things to connect or communicate properly.

With few exceptions, an email server will not allow scanning outside the domain without email authentication turned on. If scan fails with a red light error, look at the last entry in the copier system log for the error. Then ask IT "your email server is returning an SMTP Error XXX , what setting does it require from the copier to go through?". If they still balk, request that they turn on SMTP logging, and in one pass they will see the issue.

If they are running SBS 2008 or SBS 2011, then they are using then new version of Exchange which is Exchange Server 2007 or Exchange Server 2010. As a default, these versions of Exchange do not allow relaying as a default setup.

There are two ways to get the machine to email outside domains:

1. Create and use an authenticated mailbox on the server. Your copier will have to authenticate with Exchange to be allowed to send emails outside the domain.

2. Create an un-authenticated SMTP Relay connector as described in this document that I wrote below.

Yes the scan 2 email can be restricted to the internal addresses. I have a customer that intentially restricts email to internal addresses only. The other reply's are right on about the relay setup.
