    2012 Ricoh MP 301SPF (SSL-Enabled) & Gmail

    Forums,

    I've read a lot about the difficulties of Scan to E-mail using Gmail. Yesterday, I bought a SAVIN MP 301 that appears to be SSL/TLS enabled and am having difficulty sending through Gmail.

    If I test my connection through: System --> File Transfer --> Smtp Server --> "Test Connection" it indicates that it can successfully connect to smtp.gmail.com.

    However, when I go to send an e-mail from the machine, it scans the document, and then almost immediately fails with the following message: "Sending the data has failed" To confirm the result check [comm / status]/".

    Any advise? We would like to be able to send e-mail through our Google Apps Gmail account.

    If you dig around the Gmail website long enough and deep enough you will find that they use an old version of TLS 1.0. We have had the same problem. You probably have an email account with your ISP, use their smtp server to send out. It is better than beating your head against the wall trying to get Gmail to work [because you won't].

      Santander,

      If we use our local ISP will the e-mails still originate from "xxx@gmail.com" or will they come from a different domain?

        When you set up the machine you will have to provide a valid senders email address, this is where the gmail address goes so people who receive the email see that address. Your ISP smtp log on is setup separately and will have to meet the requirements of your ISP, normally this is your ISP email account and password.

          Doesn't the message get tagged as SPAM by most receivers when you do this??? I don't get why an SSL enabled machine can't send through GMail.

            No, it does not get tagged as spam. Gmail does not want to handle SSL because then they can't scan your emails!!! Does spying come to mind!

              If there is so much worry about encryption, then just set up and internal mail server.

                  Thank for providing this guide. I believe that I've setup my machine correctly so I'm confused why it is still not working. As I mentioned, if I "test my connection" it says it successfully can connect to smtp.gmail.com. But, when I go to scan to e-mail it fails immediately with the sending data has failed message.


                  Any other clues?

                    How is the machine connected to the router? Is it on a static IP or DHCP? If static, make sure the DNS, WINS and domain entries in it. If that fails, ping smtp.gmail.com and enter the IP address it gives you in the file transfer section.

                      As Santander posted, are you using the actual email address in the Administrator email box and have auto sender turned on? That's why I suggest creating a custom Gmail account just for the mfp, I've never had a problem doing it that way and it looks more professional having the company name as the prefix. And with the filter configured as shown, they don't have to worry about receiving emails to that account.

                        Yes. The only discernible difference I can think of is that our domain and mail server is hosted on google apps. So, instead of create a normal GMail account like you've suggested, we are creating a new account for our user domain. But, these accounts work just like a normal gmail account.

                        The user's username is: email@companyname.com
                        Password: Theirpassword

                        Other than that there is no difference.

                          I'm beggining to think it's some sort of network problem. This morning I tried configuring it to send through the ISP's non-ssl enabled server with no success. I just can't figur eout what is configured wrong. The device has a static IP, Subnetmask, DNS servers, etc. Security is disabled so what could be preventing it from sending but allowing it to ping?

                            Go into user tools/system settings/interface settings and select "print list" immediately after the scan failure. The last page will list the smpt error(s) and point you in the right direction. Usually the issue is some sort of authentication problem when you can ping but not send.

                              Um, I might have missed something here, and if so, sorry about that.
                              But, do you have the machine's sender email address set up? If not, you need to go to the address book in user tools and designate one of the email addresses there as the sender. The machine won't scan to any email otherwise, even though the rest of the machine's network functionality will operate properly.
