    Slow Scanning to Email

    Folks,

    Went into a client the other day to install a newer model for the customer, MPC2050 outgoing and MPC4502 incoming. The MPC4502 was NOT new, but appeared to have been fully cleared of client information save for @Remote which had to be re-initialized and set-up for the new client (was already gone from centre server).

    All went as per usual with the installation but I soon got a call about slow scanning to email. Scan to email was tested at install and seemed normal, but that was only a small B&W text document. The client says the document they are scanning is about 16 pages of letter size, has a mix of text and photos, in colour, and it is taking about 30 minutes to transmit. The machine is set to 'Auto Colour', 300dpi and file type is a multi-page PDF. They say the old unit sent the scan within a matter of a few tens of seconds, not tens of minutes for a comparable document. This was a straight vis a vis swap of machines, same network port, cable, power, yet the units supposedly behaved quite differently. I'm not able to swap in the old unit, it was wiped clean and picked up.

    We are hitting the SMTP by IP address, so no DNS issue.

    It is an open relay / SMTP server, so there is no authentication issue.

    SSL is not being used, so there should be no certificate / encryption issues.

    I have asked the client to look back and see if the new unit is producing files that are larger than the old unit, and to determine by how much if there is a difference between similar documents, though the file size would have to be huge to take the kind of time they are talking about. Any ideas on what to look for?

    Sounds like it not set to scan as PDF and its set as TIFF which is the default on these.

      No, as stated in my original post the output has been confirmed to be PDF. Just setting it to auto colour changes the default from TIFF to PDF, but the setting was explicitly verified already despite that fact.

        Are they sending the document to themselves???

        If they are, it's going to be faster to scan to SMB on their local machine!

        If they are having file size issues, then they can see how big the file is on their machine.

        300 DPI can get quite large, especially for color. I usually go only 200 DPI unless of course I am doing OCR, which DOES REQUIRE 300 DPI resolution for the character recognition!

        200 DPI with medium to high compression should be adequate for archival purposes!

          Resolved

          Turned out to be mis-negotiation of the network link. The machine was set to auto detect the link speed but always came up 100MB half-duplex even though the network supported 100MB full-duplex. Manually setting the link speed to 100MB full-duplex was all it needed.

            Good catch. Attached is a document for techs on the speed compatibility settings that the mfp should be set at dependent on the switch.
