Sometimes you can use an SMTP relay that will add the layer of security.
that machine died in 2017 with no further support.
they really need to upgrade the copier.
if they ask why tell them the same reason nobody uses windows 95 anymore. its dead.

I don't see how scan to email provides this separation they seem to desire. There is an equal amount of separation with SMB or FTP. They would only need specific rights set up to two or more share folders: Folder A is viewable by user B, C, & D, folder E is viewable by users F, G, & H.
If your bizhub 353 cannot use SSL/TLS, scan to email from a public provider just won't be possible.

If you'd like a serious answer to your request:
1) demonstrate that you've read the manual
2) demonstrate that you made some attempt to fix it.
3) if you're going to ask about jams include the jam code.
4) if you're going to ask about an error code include the error code.
5) You are the person onsite. Only you can make observations.

IMHO scan to email uses the from (admin) address. if someone replies to it they may never know.
scan to SMB/FTP and attach from your OWN email is best. provides separation and does not pose a privacy/security risk.
hell, scan to a flash drive and carry it back to your PC and attach to your email.
or just buy a machine from this century that supports SSL/TSL.
ya cant bend over backwards for old machines anymore. its counterproductive.

Check out Google workspace. If your customer is adamant about using this machine to send email then have them purchase an admin account. Once done you can use unauthenticated gmail over port 25..Acts as a relay for the device IP address. E
