    Ricoh mfp's "toner near end" automatic email notification.

    Hello,

    This is the dilemma programming a notification email for toner:
    1. set it to "almost empty" or "near end" and you get a notification email almost every day (for a long time).
    But client don't need to have spare-toners at his/her office
    2. set it to "toner empty" and you only get 1 email.
    But client need to have spare toners at side...

    What do you choose? Is there a better way? Is there something i can learn?

    Keeping the machine on all the time just for the auto email function, seems not a good argument to me to use in order to convince the customer.
    Most people in Europe are considering the environment (and this group is growing every day), so...

    Providing your customers with spare toner(s) is the way to go, in my opinion. Yes, all of our machines alert us when the toner is getting low but who wants to drop what they're doing and deliver toner or ship it via Fed Ex or whomever? I prefer to leave spare toner with the customer and tell them to call when they put in a new toner and we'll replace the one they just put in. No rush. No hassle. I also tell the customer if they fail to tell us that they installed a new toner that it could create a delay and they could even be charged if we need to make an emergency delivery. That's worked best for me.

    This is one of my biggest pet peeves!
    It really should be a very simple thing....when you install a toner, make sure you have another one! It's not that difficult.
    (Pretend it's toilet paper.... You NEVER run out of that! )

    Yet, I still have "emergency's" on fairly regular basis. Luckily, the vast majority of my customers are not too far out of the way for me, but for the 'multiple offenders, I've even gone to the length of placing a label inside the cover under the toner cartridges in LARGE FONT that basically says "Last Cartridge? Order More...".

    Once that's done, they really have no excuse but to pay for emergency delivery! And guess what.... for some reason, they seem to remember after that .

    Keep in mind many customers when they see 'toner low' will fit a new toner even if the bottle has plenty remaining, this waste can cost your company thousands.

    So keep that 'toner low' message away for as long as possible.

    I agree and they replace the toner even when it starts to print lighter resulting in toner dropping, instead of waiting for the machine to stop

    WOW!
    On a colour machine the default setting for toner low is basically 10%, which equates to 2000-3000 pages on an MP C4503 for example.
    That's a lot of waste and Money your talking about, which is why I also place another label in many of my machines indicating to "not replace toner until entirely depleted and machine stops"
    (I'm big on instructions for my customers )

    Thank you all for your valuable input.
    Fact is that the competitors are using this argument:
    "not to contact anyone, anymore" - to close a deal...
    "The machine will contact us itself, for whenever what it needs. So you will have no worries, it will all happen without any of your valuable attention..." And so on...
    In fact i, and many customers, kind of like this idea...
    I know you should keep in touch with customer, but you can always pick up the phone, or drop an email to ask him/her if he/she is still satisfied...
