Thanks to all for responding to my thread, especially KeviM, slimslob and luca72! Although no one response resulted in the resolution of the issue, they all pointed me to the final resolution! With all the input (more importantly, your replies keep me going), I have managed to resolve the issue.
I changed the administrator's email address back to the ricoh's email address. It did not resolve the issue immediately.
Next, I powered down the machine for a few minutes and powered on again. This time, the start button turned green once destination was selected.
I tried scanning but it still did not work, showing "Authentication with the destination has failed. Check settings. To check the current status, press [Scanned Files Status]."
I changed the SMTP authentication user and email address back to the old email used before the shift. Finally, the scanner sent out the email successfully. For some reason, the new email did not work despite the correct password. I suspect Ricoh prevented the changes to the user and administrator emails even though i have the administrator rights to make changes.

Depending on your mail provider, the account you used may not have permission to use SMTP authentication.
