    Have you tested it on a wired connection
    Also have you set a default sender

    seem that the machine dont feel the original(?)...you can hear the beep sound when you put in the sheet in to rdf tray?

    That will happen if, as Elmo mentioned, you have not set a default sender and do not select a send, or maybe you do not even have senders designated in the address book.

    For best results, the administrator e-mail address should be the same as the authentication address or at least the same domain, @"domain.com" where domain is the company's email domain.

    Place an original on the platen glass and scan to an email address. Don't forget to press hash when done

    Let me know if that works ( after you put in the settings)

    Have you tried this?

    It could be the sensor which detects if the document feeder is open or closed is damaged

    Also make sure to set a senders name

    Sensor checked and working, default sender selected, administrator email used to be a ricoh email address and I tried changing it to my domain email, both didn't work.

    Thanks, default sender selected, send target also selected, have also checked the address book details.

    Thanks to all for responding to my thread, especially KeviM, slimslob and luca72! Although no one response resulted in the resolution of the issue, they all pointed me to the final resolution! With all the input (more importantly, your replies keep me going), I have managed to resolve the issue.

    I changed the administrator's email address back to the ricoh's email address. It did not resolve the issue immediately.

    Next, I powered down the machine for a few minutes and powered on again. This time, the start button turned green once destination was selected.

    I tried scanning but it still did not work, showing "Authentication with the destination has failed. Check settings. To check the current status, press [Scanned Files Status]."

    I changed the SMTP authentication user and email address back to the old email used before the shift. Finally, the scanner sent out the email successfully. For some reason, the new email did not work despite the correct password. I suspect Ricoh prevented the changes to the user and administrator emails even though i have the administrator rights to make changes.

    Thanks once again for not giving up on this end-user!

    Depending on your mail provider, the account you used may not have permission to use SMTP authentication.

    Who is your email provider?

    Onsite/internal email
    ISP
    Micosoft 365
    GSuite
