I Have tried with jpeg and other formats, named it insert and still no joy.

tried - yes, succeeded - no
You MUST choose some specific file format AND image resulution but even with a proper file (according to the user manual) I couldn't set up a logo - if if I can get the image uploaded via web interface with no error (you'll actually get an error if you choose an improper resolution). I didn't digged deeper since the possible reolution you can use (again: according to the user manual) is kind of a joke. I set these machines up like the old one since I don't see the advantage having a home screen in order to switch functions - maybe it's useful if extended features are installed but not if you have a basic setup you can program on the function buttons below (copy/doc server/fax/scan..).

The image must be smaller then 45KB, 324 x 66 pixel (exactly!!)
It must be on the SD-card in a created folder custom_ui\image and named insert.JPG

Our Ricoh sales rep person did it to the machines in our showroom. It took him quite some time too! I'll give him a call tomorrow, but I think that he'd used the RTFM installation process (no offence intended, I really think that he did.)

To load an image using the User Tools, store it on an SD card. Specify a file path and name as follows:

insert
Insert an SD card into the media slot.

Press the [User Tools/Counter] key.
Press [Edit Home].
Press [Insert Image on Home Screen].
Press [Insert Image on Home Screen].
Press [OK].
Press the [User Tools/Counter] key.
Remove the SD Card.

To delete the image, press [Delete Image on Home Screen] in step 5.

Start Web Image Monitor.

Log in to Web Image Monitor as an administrator.

Point to [Device Management], and then click [Home Management].
Click [Insert Image].
Click [Insert Image] in the [Insert Image] box.
Click [Browse], and then select a file.
Click [OK].
To change the image, click [Select Another Image] in step 4, and then select a new image.

I created the image in photoshop and saved it as the exact pixel size, still no joy, but i wil try saving it in paint and trying it on the sd card tomorrow if i get time.

I couldn't for the life of me get it to load through the SD card, but had no problem loading with the WIM. I'm wondering if there is some sort of post processing that is done when using the WIM to make it fully compatible. One thing I didn't do when editing the logo was to 'flatten' it when done, not sure if that would make any difference. I might try GIMP and see if the results are any different.

Thanks for the help, i managed to get it to work by saving it in paint and adding .jpeg and the end of the file named "insert"
May have been photoshop causing the issue.

Hello to all!
I tryed with GIMP with success.
-The logo must have exacltly 324x66
-96 dpi
-When you save it you need to save it in Jpeg format
- Then press "advance optinons" and desable all optins.
- Save it and you are done.
I added the logo by WIM
