Import data into an IR4570

Hi,

Does anyone knows how to import data to a Canon IR4570?, for example, I have the email addresses on an excel file and I would like to import those into the Canon's address book, the same for the Mailbox and Dept ID accounts (these databases are stored into the printer's HD). I have to manually enter about 80 users on 2 IR4570 printers and it would be nice if I can import all that data.

Is there any tool?, something easier to use for a computer tech?

Trying to import from Vcard format, or CSV or anything. There is a utility called Address Book Conversion Utility. I have talked to 11 people so far at Canon and a Canon dealer - no one can help me. I am waiting for a call now from another dealer. The funny thing is, if I knew Italian, I could do it because the italian version is on the Canon Europe website. But the English version is not on the USA website. If you know Italian, I can point you to the file...

trying to import ANYTHING into canon is a pain the easiest way is to export from an existing machine & import that data as csv is not surported and address book conversion was for earlier machines.

has the machine i-send/u-send - if so just register ldap and you'll get local address book.

Couldn't get the LDAP to work, and had a subset of users to add. Here's what I did: 1) Exported all wanted contacts into a Vcard file. 2) Dragged the Vcard file into Address Book. 3) Imported into ABCU, deselecting Fax number in Import settings (got double entries otherwise). 4) Did File > Export into an .abk file, and 5) uploaded to copier (set to Custom Format).

So you were able to import the address book emails into the copier... nice, what about the Dept ID and Mailbox users, that is also possible? or I'm just dreaming something imposible...?

Yes but in order to import using the RUI the contacts must be on an specific format correct?, do you know a tool to convert the contacts from an excel file to the format required by RUI?

Yes, the file format is Abk. file. If you want you can import that excel file into microsoft Outlook as a CSV. file -(Comma Separated Values (Windows), then import that file from outlook into the Canon Address Book Conversion Utility to create a (ABK. file) and export that abk file back into RUI. I've done this plenty of times.

Yes, I agree. The RUI is best way to do this. There is the previous mentioned Address Book Utility, however, Canon has not updated it in some time and does not support any model higher than IR 3300. There is also a utility called Dawn Dawn

that will alow you to convert address books to different formats. Never used it, but it has been somewhat supported unofficially by Canon.

The first question you had was.. Can you import data from excel into the machine. As for mailboxes and dept id I believe you can accomplish this thru rui.

1. Access the imageRUNNER 4570's RUI through Internet Explorer by entering the IP Address of the machine.

2. Within RUI, click on Additional Functions and select Custom Settings from the menu that appears under Additional Functions.

3. Click on Backup Destination Settings and the Backup Destination Settings screen will be displayed.

4. Fill in the following fields, to provide a path from the machine to the Destination Server.

[Host IP Address] The IP Address of the server to backup the Mailboxes to (Example: \\192.168.0.172\BackiR4570). BE SURE TO CREATE A BACKUP FOLDER ON THE C: Drive. The backup folder can have any name you choose. In this case the folder was named "BackiR4570. Be sure to give the backup folder the WRITE permission.

[User Name] Enter the user name used to log into the server that has the backup folder.

[Pass] Enter the password that is used to log into the server that has the backup folder.
[File Path] Leave this field blank.

This completes the setup of the Destination Server.


Performing the Backup of Mailboxes

1. Within RUI, click on Additional Functions and select Custom Settings.
2. Click on Backup and the Backup screen will be displayed.
3. Click Execute and the Mailboxes will be sent to the Destination Server \ Folder.


To restore the Mailboxes and Mailbox content to the machine, follow the procedure below.
Restoring the Mailboxes and Mailbox content to the machine

1. Within RUI, click on Additional Functions and select Custom Settings.
2. Click Restore and the Restore screen will be displayed
3. Click Execute and the Mailboxes and Mailbox content will be sent to the machine.

* Note
Even though the Mailbox information was sent to the machine, the Mailboxes will not be fully Restored until the machine is turned off and back on again.

*CAUTION*
To complete a Mailbox backup / Restore operation it may take up to five hours to complete. Do not turn the Main power switch of the machine OFF until the operation is complete, as this may cause the machine to malfunction.

To Backup the Department IDs:

1. Log into the Remote User Interface (RUI).

2. Click on [Add. Func] on the left side of the screen.

3. Click [Import/Export] in the same column.

4. Click [Additional Functions] under the 'Import/Export' page (on the right side of the screen).

5. Click [Export].
7. Navigate to a folder on your PC to save your file in and hit [Save].

* Please see the IMPORTANT NOTES section at the bottom of this article.

To Restore the Department IDs:

1. Log into the Remote User Interface (RUI).

2. Click on [Add. Func] on the left side of the screen.

3. Click [Import/Export] in the same column.

6. Click [Browse] to browse to the previously exported .umd file.

IMPORTANT NOTES:

- The Custom Common Settings, Timer Settings, Adjustment/Cleaning Settings, System Settings, Report Settings, Copy Settings, and Send and Receive Settings also get exported and imported with the Department IDs.

- This feature can be used to export the Department IDs from one machine and import them onto another similar machine (along with the other supported Additional Functions settings, including the Network Settings).

- The print totals for the Department IDs cannot be imported and exported with this feature.

6. Click [Start Export].

Hi Screwtape, your backup procedure works like a charm, I was able to backup the data from one of ours 4570 machines. This will work great in case we need to backup and restore from a defective copier to a new one correct? (or into the same copier).

But what about when you're configuring a new copier and you don't have any data to backup/restore?, should I resign myself to enter all the data manually? (addresses, mailboxes, Dept Id's), or there is an utility (like netspot) to help to import from excel?

Depending on the model and firmware that's on the machine. But, for most imagerunners you can use RUI and save yourself the time. I'm glad everything worked out for you.
