clone file : can you create a file that has the machine settings ie user codes etc to use to back and restore settings or use on multiple installs to give the same settings to each machine

You can. The only way I am aware of is by using Pagescope Data Administrator. You can import/export address books, authentication settings, and other stuff from a PC to multiple machines etc

There may be some limitations between newer and older models though, which I guess could be expected.
