I was wondering if anyone could help me out understanding the differences in OCR products offered on copy machines. I am an IT consultant and after talking to my clients copier guy and his "IT" guy today I was left with more questions than answers.
We are interesting in purchasing a copier for a small legal office of 10-12 people that is essentially paperless. The copier would be used to handle large document scans that cannot be handled by the desktop scanners, and when an large amount of paper must either be copied for paper records storage or printed for document production (rarely). Therefore as a printer this machine has a very light work load, I have recommended higher speed flatbed scanners with adfs, and a smaller multifuntion but this is unacceptable to the client because they want features like stapling, auto duplex, etc. and those aren't provided by MFPs.
I prefer not to install OCR software on their servers or desktops to handle the task, I would like a machine with this functionality already built in. I was told that any machine I would purchase would need for my to install software on my server that scans the network file for new scans and then OCRs them. Is this really true? If what he says is true why do manufactures offer network scanning and OCR as different features if you are going to have to purchase and run separate OCR software on those machines?
I appreciate any help you guys can offer, and if anyone has any model suggestions please also let me know. They are considering buying used or purchasing new and want something that is going to be reliable and has a low service cost. (The copier will do very little printing/coping, but needs to be able to staple and auto duplex at a minimum).
