mp 2851 incoming faxes are coming from a remote fax server in another location . they don't come out unless you turn the machine off then on again, then they all come out. printing does not seem to be an issue. swapped controller board and it still does it. could this be a setting wrong. we just installed the machine. the little brother machine we replaced seemed to do this fine.

I haven't experimented with them, but maybe it's set to "store"
If all else fails, there's no harm in doing a factory reset in fax SP mode and re-entering the few customer credentials -
Re: ricoh mp2851 recieving fax issue
Can it receive OK from other locations, or is the problem limited to the one fax server?
I had an issue with a fax server about 2 years ago, where it could not send to a few locations, which all had the same unknown model receiving machines, or possibly fax servers. (It was a government agency.)
Turned out to be a firmware update was needed on the modem in the fax server.'“I think you should treat good friends like a fine wine. That’s why I keep mine locked up in the basement.” - Tim HawkinsComment

Re: ricoh mp2851 recieving fax issue
At a different location, I had an MP C2050 that would rarely, if ever receive properly, and normally errored out.
The Xerox we replaced always worked, and so did the the MP 1515 we tried on the same line.
Turned out that the IP to analog card they had in their router kinda sucked.
It just so happened that the C2050 was a bit pickier than the others.
Once that card in the router got updated, all was OK.“I think you should treat good friends like a fine wine. That’s why I keep mine locked up in the basement.” - Tim HawkinsComment

Back in the day, the fax language was only half as large as it is now, but fax capable units have always had the full amount of memory dedicated to the current commands. Good fax units zeroed out the unused memory, but cheap ones just left random garbage in the memory. It didn't cause problems then as that part of memory wasn't being used.
Flash forward to the modern fax era, when manufacturers started adding commands to the formerly unused portion of the fax language memory. Modern fax units can detect the older ones with the zeroed out memory, but the garbage in the memory of the cheaper units sometimes interacts with the newer commands in unpredictable ways.
If I hadn't moved since the transition, I'd show you the wall where I banged my head against because of this issue. The postman was able to deliver my mail through that hole.Comment

The original card must have been a cheap one.
