Scan to Email on Ricoh MPC 5503

    [Misc] Scan to Email on Ricoh MPC 5503

    We have 2 MPC 5503 and on one of them scan to email is not working. It gives an error " Transmission has failed". both of the copier has the same SMTP authentication . Does anyone know what setting should be changed?

    Print out NIB summary and see if it is a connection failure or a authentication error.
    Log into WIM and check NIB summary.
    Why do they call it common sense?

    If it were common, wouldn't everyone have it?

      Got a couple of thoughts:
      This may sound silly, but have you tried turning it of and on again? There are a myriad of small, stubborn issues that can be solved by doing that.

      Are you using Auto-Specify Sender? If so make sure that the Administrator Email matches the one used in the SMTP Authentication. While it can sometimes work without the match I have had occasions where it does need to match or an error will be returned.

      Checking Firmware is also a good thing to do if the other more sensical solutions aren't working.

        Thanks for your response. What is NIB summary?

        I actually compared all the setting on the copiers and everything is the same. I can't figure out why one copier is scanning and one not.

        By the way, scan to folder is working fine

          Thanks for your response. Yes I tried turning it back off and on.

          Auto specify sender is on.

          Administrator email and SMTP authentication is correct.


          I was wondering maybe something needs to be done on SP mode

            You didn't use the same IPv4 address in both machines, did you?

                Under the file Transfer settings, what is the "max. reception email size" set at?
                And in Scanner Features in user tools, I always turn OFF "Max Email size" and "Divide and Send".

                Had one scanning issue that was caused by customers IT setting a small allowable file size on email server too (don't think this is your problem though).

                  Thanks It's off...and when I scan to folder, it works fine

                  I only have problem scan to email..as soon as it takes the paper, it says Transmission has failed..Check the scanned filed....

                    Try switching the IPs and test?

                    you havent detailed where you are scanning to, if its an exchange server you may need to set up a receive connector, hence try swapping IPs.

                    Fault most likely network related if both machines are using the same settings.

                      You say it fails as soon as it takes the paper? In user tools on the device under file transfer at SMTP settings. If you do a connection test does it connect to SMTP immediately, does it take long and fail or does it fail immediately?

                      Is the device set up with SMTP name or IP?

                      Network log can be printed from device in user tools under network settings there is a print settings option and you'll find it on the 3rd page or via WIM again under network there should be a log option (don't even need to log in to device)

                      Been spoilt at new job so haven't had to mess around in settings for a while so apologies if my directions/naming is wrong but it is there somewhere[emoji58]

                          I'm trying scan to email which is not working.
                          connection is successful and I am also able to print and scan to folder.

                            Don't know if this was already suggested, but have you tried using Google's DNS server settings instead of the network's?

                            Primary : 8.8.8.8
                            Secondary : 8.8.4.4

                            I've found that this sometimes helps with scan to email....especially if you're using a Gmail or Office365 email to scan with.

                            Have you also tried the SMTP "Connection Test" in the network settings? If the machine can't reach the email server, you'll crash every time.
