I search on Forum but didnt find anything ...
How can I calculate my cost per copy on used machine to check what can I offer to new clients ... Than the rental machine + copy per click ...
What should I check first in machine ?
Cost of parts and toners ...

Product support guide will give you the expected yield for Ricoh toner. Most will also give you the recommended replace frequency for parts. You'll have to run the numbers yourself.

Use a spreadsheet. A column for yield and one for cost. Third column insert a formula dividing one by the other to get you cost per copy. Then at the bottom of the cost per copy column get the total to get the cost per copy for everything.

feeds...

OLDER machines tend to BREAK DOWN...

what are the maint logs like?
kept up to par per pages/parts?
whats the count on the parts NOW? ( replacement due soon?)
what is the customer printing on? (thicker/rougher media wears parts FASTER)
what is the duty cycle vs the production cycle on the unit(s)?

so many questions ..so little information to give advise on.

Like all these suggestions.

Also make sure you factor labour and travel cost into these calculations as well.

A lot of sales staff only care about the cost of the parts, forgetting that they don't transport or fit themselves...

Well you'll have to know the useful life of the consumables of the machines and the level of the toner. And also know the approximate use that the client of the machine is going to make.

Calculation tools/excel sheets are usually too optimistic, even for brand new units. There are plenty things so consider starting with the "type" of customers and how "quality demanding" they are. Some people pick up the phone the first time they see a tiny, micro "I-don't-give-a-hit" dot on the prints that isn't suppose to be there, other people don't care as long as the paper find it's way to the exit tray. You'll have an advantage if you already know the customer otherwide it's guessworks.

Besides you'll usually don't equpped used machines with new drums / fuser etc. so better expect these unit's not to last very long due to the previous usage/aging etc.

Last but not least: Don't pick machines you have no experience with.

Also I would look at what type of account,number of employees,are they going to call for every stupid thing.
I dont include color toner,nor drums to keep customer service contract low.
I would always check what others are getting too.

This may not be a popular answer but I find it to be the truth. Unless your company originally placed this machine new and know for a fact how it was run and service, leave it pay per call.

Have you ever run into a customer that said they had an IT company check out their network only to find out it was their brother-in-law? It may be t hat their previous service was like that too. Don't trust the PM counters. They can be reset.

Another part of the expence is the labor. Old machines require alot more TLC and sometimes jury rigging. It may already have been jury rigged.
