I think that's an Aficio 3228C. If it has never done scan to email before you're going to have to contact the customer's ISP (internet service provider) and find out the DNS server, the SMTP server and an SMTP user name and password and enter them into [User Tools / Counter], [System Settings], [Interface Settings] for the DNS and [File Transfer] for the SMTP information. Once you have all this entered test it out and I bet it'll work.

Also all this information can change if they switch ISP's.

Read this attachment, Section 4. It's much easier to follow than the user manual.

Relax! This firmware injection won't hurt...but it will take 45 minutes.

Are you scanning to an exchange server or a pop3 account?

If it's an exchange server, try setting up the email address as a sender and use then input that as the sender name (in the top right hand corner of the scanning screen, I think.)

Also, try using IP addresses rather than server names, regardless of whether it's a pop3 or exchange account, in case it's a DNS issue.

If it fails immediately it's most likely going to be an authentication problem, whereas if it waits for some time then it'll be a routing problem of some sort.

At least you've now narrowed down the problem somewhat, and can look at trying to authenticate to the email server.

Input a valid username/password combo and see what happens. Make sure that when you enter the name, you didn't accidentally put in spaces, or transposed a letter/number etc.

So is it to an exchange server or not?

Try going around the whole authentication issue. Find out who their internet service provider is and what their smtp server is (ip address or name) use that as smtp enter their dns server as a secondary, make sure gateway and primary dns are correct and bobs your uncle.
