    Scan to folder

    Can anyone give me the required information needed to set up scan to folder. I know that you set up a folder on the computer labeled scans. It has been a long time since I did this. If I remember correctly all can be entered thru the web in. Also, if you can do the same for scan to email, that would help as well. Thanks.

    Hi, last time I set up scan to folder on a Ricoh I browsed the folder from the mfp and added it that way.

        If the customer is using Windows XP and/or Server 2003 on the machine with shared folder....

        1/ Make sure file and printer sharing is enabled.
        2/ Create a folder on the PC/Server, it doesn't have to be called Scans but it's logical to do so:
        3/Right click on the folder and scroll down to properties, click the sharing tab and click "share this folder". Give it a share name (again "scans" is logical). In perimissions either set it so everyone has read\write permissions or get their I.T bod to create a user account for the copier that has the required permissions, make sure the password never expires if they have a 30 day password change policy.
        4/Open WIM (or on the copier itself go to user tools/system settings/admin tools/address book management) and login as admin, click the address book link and create a new entry.
        5/ In name and key display put Scans (or if multiple folders are being set up for different users\depts whatever your cust tells you to) then scroll down to the "folder" dialog box. Put the path in the format \\Computername\sharename or if that doesn't work try \\computer ip address\sharename. If you are inputting this via the copier then you can browse to the folder. Scroll to "folder authenication" and either get the user to input their windows login username and password or input the login their I.T created for you.
        6/ Test it, you'll get one of two errors if something is wrong. "Cannot find path" or "authentication error" both are self explanatory.

        Scan to email:

        1/ Ask the I.T bod for the emai server i.p adress or name (if they are difficult to get hold of ask a user to open Outlook/Exchange and find the server in "Accounts")
        2/ In user tools/system settings/file transfer input the email server name or address in the "SMTP Server" box.
        3/ In "administrators email" put something like "accountscopier@customerscompany.co.uk
        4/ Set "auto specify sender" to on
        5/ Show the customer how to add/remove users in the address book. Only two fields need filling out. Name/Key Display and email address.

        Remember most Ricoh MFPs default scanning format is TIFF. Almost all customers want that defaulted to mutli page PDF in my experience.
