    Scan to folder (MP C2550)

    One of our clients has complained about the filename generated automatically by the machine when scanning documents.For example, the client has 8 sets of documents to be scanned. He scans those documents in order.The first four documents has to be combined in one folder and the other four sets in other folder in his PC after scanning. Checking the "scan" folder, he can't find the series of documents because the filenames are not in chronological order.Two or three are in series and the others are not.Any ideas?

    I just told him to enter the filename before scanning so that he could easily identify the files belong to the group. But he is concerned about the downtime of entering the filename.

    Hi sharpmind, have your customer go to the folder where the documents are scanned into and click on the "date" tab of the folder. You come see this tab by clicking the "view" tab then "details"(some have "arrange by"). Depending of the OS of their computer it might be sightly different. But, I hope you get the general point. This will put the documents in the date/time order they were scanned, and the down time is only a mouse click or two. I hope this helps.

      What about suggesting that he just name it once, and then scan as usual and the file names will automatically be renamed "in sequence" for easier reference on the PC?
      For example, Name the first set March 23, and then continue scanning the sets, and they will be automatically renamed March 23_2, March 23_3, Etc. (That is, as long as he does it prior to the scanner resetting in 30 seconds or so)

        He could also set his computer folder to view thumbnails and he can see the first page of the document.
        It always amazes me how end users blame the I/O device and not the settings on their own computer.
        Why do they call it common sense?

        If it were common, wouldn't everyone have it?

          If the customer is too lazy to take an extra minute or so to give a file name to the scan at the machine, heaven help them for the downtime it must take them to boot their computer or wait for emails to arrive!

          This sounds like a factor of an unreasonable expectation on the customer's part as well a poor understanding of technology. A little hand holding with the customer, and a basic introduction to file management, might just go a long way.

            Files can be sorted within windows not just by its name but also by file creation date+time so you can display them in chronological order. SMB scan is a basic feature and if the customer is over-demanding they might think about acquiring software solutions that offers professional options and features like indexing PDF via OCR, barcode detection, database....

            But getting the files display in chronological order can be done without fancy extra costs.

                This is what I would suggest, just make sure that 'Userinfo Release' (Scanner SP 1012-1) is set to "1". This will prevent the settings from clearing after every scan job and requiring inputting the file name every time they scan a set. That way they will get the naming sequence as described by sandmanmac and should show up in sequential order on the pc.

                As a side note to all, one of the new default settings of the MP5002 is to append the time/date stamp to the file name even if you manually input a file name ("test" will show as "test_mmddyyhhmmss.pdf/tiff". There is a new sp code in Scanner SP called something like "append time stamp to file name" and is on as default. It needs to be changed to its non-default setting to prevent it from doing this. I set up 3 of these last week and a customer called back asking that to be removed. I luckily stumbled on it fairly quickly but did not see this sp setting in the service manual.
                Another new default of the 5002 is that in order to enable DOSS in User Tools, you must now first turn on Admin Authentication. Otherwise it displays that you do not have rights to perform this function.

                      Only down side - this SP is only on the latest generation of GW.
                      It's 106 miles to Chicago. We've got a full tank of gas, half a pack of cigarettes, it's dark and we're wearing sunglasses.
