    intermittent scan failure to server 2012

    hoping for a quick response if possible please.

    I am at clients who have intermittent scan failure when scanning with SMB to windows server 2003.

    I am almost 100% certain it is not the copiers fault, but IT are adamant it's not them either.

    what settings and firewall permissions should I ask the IT team to check?
    anyone got experience with this?

    from my experience its never the copier, its just programmed with details.

    try pinging the copier continuously while scanning and see what it says when the scanning fails.

      Does the issue happen with specific people or folders?

      Is the machine using its own credentials or the user's to access the share?

      I'd try recording the times around which a scan fails and have the IT guys check the event log on the server for that time.

        I would agree. If it works 'most of the time', then it's almost certainly a connection issue somewhere along the way.
        Maybe a sketchy port on the router, wall jack, or cable?

          I had the same problem with windows server 2013 while ago. It's somehow the firewall that don't allow the SMB connection.
          I used the ftp protocol insted!

            In that case it would have been a firmware issue, as no machines scan to SMB with Server 2012, Win 8, etc., without firmware updates. He has clarified that this is Windows server 2003.

              I have had the problem before. If it is always the same users/destination that fail every time they try to scan, the user/destination credentials are the problem. Either the log in and/or password do not have rights to the destination. Whether it is the setting at the machine or at the server will need to be determined. If those that work use the default authentication setup in System Settings - File Transfer and the ones that don't have individuals authentication, that is most likely the problem.

                OK, we setup a scan destination on one of the users computers, this has had no issues whatsoever when scanning.
                they only have one scan folder setup on the server and everyone can access it.

                surely if the authentication details aren't correct then the scan fail would happen everytime?

                we're waiting on the IT tech to get back to us as we can't touch the server (company policy)
                100% this is the IT's fault because the same customer at a completely different location have just rang in with the exact same fault.

                  How is the copier scanning via user name or IP address. I have seen this before when more than one device has the same IP address. Could be anything. Install smart device manager for admin on one pc and check for duplicate IP.

                    Have to check the times and days this is happening. In my case it was a blackberry grabbing the same IP as the copier. Seen it more than one. Had it happen with android phone in our office.

                      I had a similar problem once with a new install printing. Customer had a new IT service and he wasn't aware of there being VPN access. Gave me a fixed IP that was right at the start of the VPN's address range. I found the problem by turning on DHCP and then pinging the original fixed IP.

                        don't ask me how, but it's working 100% of the time now.

                        The onsite IT have changed something and are acting like they haven't done anything, even though the scan folder destination is completely different to before.

                        at least the customers happy now and doesn't blame us...

                          If it comes back in a couple of weeks, find out who has been on vacation. Their computer/laptop is stepping on the IP address.
