    Scan setup help on e-Studio 2500

    Greetings all. I am assisting someone with some scanning setup on a Toshiba e-Studio 2500. It's been currently setup so that it scan's to the local storage space into a share named "FILE_SHARE" and then a folder called SCAN. This is them browsed to via SMB to access the scans.
    This was previously setup.

    Is there a place to specify authentication for this share? Right now it can be accessed iwth no authentication.

    Looking at the settings, it's set to "scan to a folder under the share", whch it says is determined based upon the template used.

    I found an area of the device with a bunch of templates, some related to scanning, but none seem to specify this "SCAN" folder. Where would I look for this?

    There is no way to manually delete/rename files that get scanned to the local storage on the copier. Is there a way to allow a user to edit documents on the file_share?

    Lastly, the device was setup so that when a scan is made, you can type a file name and that scan comes through. This has stopped working for some reason, and instead, all the device puts the same prefix on all the files. I cannot find how to adjust these settings or where to check to see why it's no longer working.

    There is a chance that your machine has recently had a firmware upgrade and this is why your settings have been muddled up.

    The 'File_Share' doesn't have any permissions on it such as Windows has. Basically you can only write to that share from the copier. The idea is that you would then copy the file off the copier and place it on your local PC / File server.

    The folders that you mentioned might be created because your standard scan to file setup says to place files in a sub folder. The sub folder will be named according to the name of the Template. If you want files to go directly into a certain directory (outside of the 'File_Share' on the copier), then change this setting under 'Scan to File' in Admin mode.

    Also in the same section, you can tell the machine if you want it to delete files of a certain age. Standard is 30 days of file retention, then the copier will start deleting the files that are 30 days or older. If you set this to 0, the copier will not delete your scans.

    I would strongly suggest that you start scanning to an SMB location other than the copier. Unfortunately, it is quite common for the HDD's to fail or need formatting by a technician which will mean you will lose all of your scans. If you have a file server, scan to that instead.

    As for the names, was this done through templates? If you are using templates, then you can set a file name and the copier will just add a number to the end of the file name when scanning if a file exists with the same name.

      Templates are used to scan to a certain directory with certain settings.
      (ex. certain desktop or file server, which format to scan in, what dpi to use..etc..etc)

      You have to edit the templates using the "Top Access" program.
      The way to access this program is to open up a browser, type in the i.p number used by the copymachine (without the two \\ used to access SMB)

      Only problem is you need someone to walk through this with you step by step.
      Simple reading of manuals will probably not help you.

        Scan templates can also be created without the use of TopAccess. If you are familiar with manually typing in the info required when scanning, then before you actually make your scan, you can press Templates on the machine and then register the settings that you have.

        Going through TopAccess is easier and quite well laid out. This means that most people can fumble their way through to get the right settings working.

          There has been no firmware update unless the device updates itself over the internet automatically. I didn't update it myself and no one else has been out to do it.

          For refernece:
          Copier Firmware: T308SYOU314
          Copier Main ROM: 380M-15
          Copier Scanner ROM: 380S-06

          All I did was went into TopAccess and changed the "delete off scanner" from 30 days to never. Only change i made. This seemed to have caused it to not allow the manually entered file name (done at scan time) to be actually saved.

          Any idea why this is now occuring? I made no other changes. Is there some place in TopAccess where you tell it "accept the filename the user enters" or "always use the name in this template"

          Where in TopAccess do I go to check out these templates?

            OK, i found templates. For file name, there is an Option for DocMMDDYY and one where you specify the filename and you have to type something.

            So my question is, why was it accepting the users manually typed file name before, but not now? None of these have been edited.

              Hey whats up. Alright so first you have to make sure your smb setting match and there is no DNS issues with the PC it is being setup on. Then log into Top Acess as Admin. On setup page you will see an optons for "save as file". Choose it.

              First set to scan directly to main folder not subfolder. CHange next setting to "Not" delete after 30 days. Next choose the drop down option for "Use network folder Destination", Procedd to scroll down to the section for remote 1 and 2, click the bullet on the bootom left of each "remote" section you will see that this enable the ability to plug network path and authentication in. However I do not recommend you do it there.

              Finally go to the tabs at the top of top acess and choose registration.

              Scroll down and select a empty template below. It will prompt you to give it a name like "Scan to File". You can create many template for many pc's within the main template folder. Once you have named it, it will them give you the option toi creaet a template within the folder you just created. Now you will see template creation options, chooese scan, you will see a check mark automatically put in the scan to file box on the right. Choose to create it or select agent (I think hmmm.....). You will be brought to your final destination first there is a box to name your one touch you will use at the copier,Make up a name. (ex: Scan to John). The you will have a "Save as File Setting" section. Inhere is where you will put you shared folder destination path (ex: \\johnspc\scans). Enter your windows authentication info for that pc, you can also choose the file type you want to receive for the scanning (exdf multi). The final section you do not need, however it fdoes contain resolution settings and other adjustments. Hit save and your done.

              Walk to the copier, hit the templates button, choose the folder you stored your templates in, choose the one touch for your pc and enjoy. You can add as many templates for other pc in that folder as you want, just make sure their in the same workgroup or domain,
