    Ricoh C4504 Scan to Email Settings

    We are currently setup where the "receptionist" email address is the sender for the scan to email settings. In the sent mail folder for that email account, a copy of each scanned email is saved. We're trying to reduce liability of scanning sensitive materials. Is there a way to disable saving the sent email in the sent outbox?

    Scan to folder and then email using an email encryption software or service.

    Gmail does provide Email encryption in transit. Email encryption in transit - Gmail Help

      Most company's must keep a record for up to 7 years

        There are countless ways to configure scan to email, most of which don't log/ save the outgoing message, but Gmail (as an example) does.
        If that's who hosts your email. Either set it up in another way, OR create a new (confidential) email account that only those that should have access have the credentials to do so, and scan using that one
