    End of Gmail: May 30th 2002?

    If there's a thread on this, my bad. I didn't see one.

    But it appears using Gmail on copiers won't work after May 30th as Gmail is disabling the "less secure apps" feature that allows copiers to pass thru to the SMTP servers.

    I'm not in IT, so if anyone knows more please contribute. I'm afraid 60-75% of my customers are gunna be screwed.

      There are treads here that talk about the work around. I haven't tried it myself, but I will be forced to soon.

        Until today I was convinced that there was no way you could perform a Scan to Email via Gmail with 2FA turned on.

        I have found a workaround within Gmail called an "App Password".

        Here is a video on how to perform this task.

        When you enter the 16 digit password into your SMTP client in your copiers's web browser, delete the spaces between the blocks of four letters.

        Anyway, I tested it and it works. Learning every day!

          Those of you that use a Gmail account for this purpose need to pay special attention as Gmail will be turning on and REQUIRING two-factor authentication for all of their email accounts by May of 2022. This means that two-factor on your account can be turned on at any time.

          Google originally planned to turn on 2FA on May 2021 but it seems they put it off for a year.

            Simply create one-time password in Gmail you're using for the device leaving 2FA on. It works.

              Yesterday I made a list our all of our equipment using a Gmail account to send meters and data to Sharp MICAS and gave it to our IT Tech.

              He created a new Gmail account with the App Password and will begin the change over beginning with the copiers that have MAs billed on a monthly basis. He has lots of work ahead.

                Yes me too. I have several devices I turned 2FA on some time ago but most are without. Good for me we have a lot of devices in PrintFleet and BRAdmin.

                  Considering that the original date for them to do so was over a year ago on January 12, 2021 and possibly 2020, it may not happen for a while. Too many major corporations are still use "Less secure apps settings" and Google does not wish to have them change to a different provider.

                  But just in case you may want to make some changes. Google support recommends using the Google Workspace SMTP relay service to send mail MFP scanners because it authenticates with IP addresses. Here is the latest from support.google.com. https://support.google.com/a/answer/176600?hl=en

                  I found the above link by using Yahoo search engine to search "mfp scan to gmail" This is not the first time I have posted the a to Google support for scanning to gmail. I have been using their documentation ever since Ricoh first introduced scan to email on their equipment.

                      Been setting up my MFP's using 2FA / App Passwords for a few years now - since it was introduced in Gmail.
                      It just NEVER seemed like a good idea to "allow less secure Apps", and I've been doing my best to spread the word in threads whenever the subject came up for a few years now.
                      BTW this is not unique to Gmail. Yahoo requires the same, and even scanning via some ISP's such as ROGERS (here in Ontario anyway) requires an App P/W

                        Thanks for this thread, we have most customers on "less secure apps" enabled and did my first switch over to "App Password" yesterday. In order to use "App Password" 2FA needs to be turned on.

                        This raises concerns and questions:

                        1. Who's phone number do you use for 2FA? Customer's or your company?

                        2. Do you hand over to the customer the Gmail credentials for them to clear the inbox of email kickbacks? (Receptionist or certain employees may not be privy to confidential scans that gets kicked back.).

                        I guess these were always concerns but now a phone number needs to be inputted into Gmail.

                          If you have your customers using your gmail account as the authentication account, that needs to be changed immediately. Once it is the customer's gmail account that is being used, it all becomes the responsibility of their IT people. Unless they are paying you to provide IT services, it is not your headache. You just have to know how to make their MFP send once they have provided you with the necessary email account information. Your sales staff should be obtaining all that information in advance for all new sales. Most manufacturers have a site survey fill in the blanks form that should ask all the correct questions. Remember, if the customer is unhappy, it is because the sales staff did not do their job properly.

                            ... many SMB customers are indifferent to which SMTP client you use to enable the scan to email feature on their copier. If you have gotten use to using your familiar Gmail credentials on every install, there are alternative SMTP vendors like SMTP2GO: Reliable & Scalable Email Delivery Service to try.

                            ... if your customer does insist that you use smtp.gmail.com and you are confused over which device you should use to enable 2FA, consider installing free Google Authenticator or Microsoft Authenticator on their PC as a work around to requiring a SMS text message on your or your customer's mobile device.

                            ... the world has become a much more dangerous place for any business. Customer's who could not be bothered to create their own free Gmail account for the copier likely now are willing to make the effort to do so once you start talking about information security.

                            ... while it may be convenient to blame the salesperson for not collecting every bit of information a service person might need to complete their job more easily, this is low priority for most salesperson. Salespeople are more concerned about not putting new barriers in front of the buyer to sign the lease document, calculating any balance of payments on the existing lease and returning of the original equipment to the leasing company.

                            It is salespeople who drive the business forward and create new installs, not service people.

                              It's not just about actual Gmail addresses per se.
                              This also applies to company's whose email is hosted by Google.
                              Ie: info@xyzcompany.com
                              I'll either use an existing company email address of their choosing, or have them create a new one for the MFP
                              Ie: scanner@xyzcompany.com
                              I also use the smtp2go service often if enabling 2FA, or simply acquiring the necessary credentials become a problem.
                              The free version is more than sufficient, but just a reminder that it cannot be used with free email services such as @Gmail.com, or @Hotmail.com, etc.

                              Note: that wasn't the case a few years ago, as I still have a working smtp2go account that works with my own Gmail, but it can't be done anymore.
