    IRC3200 Scan Via Email problem

    Hi guys,

I'm having some problems with the scan to email function. The setup is all fine and i am receiving the email from the copier but the problem is that if i send a stack of documents (more than 20), there will be several emails breaking the attached files up into 3 or 4 different emails. It's a multi page PDF file but somehow it has been broken up.

Has anyone had any success in configuring the scan to email to only 1 email and 1 complete attachment?

Do share your experiences and thx in advance

it splits it into multiple email as the original document has become to 'large' you can change this happening by lowering the res/dpi to it's lowest setting or by getting the 'pdf compact' plug in

Also When the Divide into Pages feature is enabled for a Send job, each page scanned in will be sent as a separate TIFF or PDF file. For example, a scan job of 5 pages set to send to e-mail in the PDF file format will result in an e-mail being sent with 5 attached PDF files (each page scanned as a separate attached file).
When the Divide into Pages feature is disabled for a Send job, all the pages scanned in will be sent as 1 file. For example, a scan job of 5 pages set to send to e-mail in the PDF file format will result in an e-mail being sent with1 attached PDF file (each page scanned included in a single attached file).

There is also something to keep in mind.. The SMTP server.
If the SMTP server being used for Universal Send only allows emails with attachments under a certain file size. Emails with attached files that are larger than this maximum allowed file size are dropped or have the attached files stripped from the email.

You can set the maximum file size used for attached files when sending an email or i-fax via Universal Send on the Canon device. The minimum setting is 0 MB (Off) and the maximum setting is 99 MB. The default setting is 3 MB.

If you enter '0' MB as the data size, there is no size limit to the data being sent. The maximum data size for sending can be set in 1MB increments. If the size of an e-mail exceeds the set limit, the e-mail is split up by page and sent out as smaller e-mail messages each of which is within the set limit.

      1. Press Additional Function.

      2. Select System Settings.

      3. Hit Communication Settings.

      4. Select Email/I-Fax Settings.

      5. Set Maximum Data Size for Sending.

      * You can hit the + or - sign to increase or decrease the value in 1 MB increments.

      6. Hit OK.

      7. Reboot the machine for the new settings to take effect.

I had a client that always call about this issue and it turned out to be there SMTP server. In the course of trying to figure out what was going I came across these techniques. Hope this helps.

One huge caution when scanning to email with a color machine: When you scan in color, the file sizes can get very large, very quickly.

This is where the "PDF Compact" feature, as previously mentioned, can help by compressing the files a bit.

The "Compact" PDFs can only be opened with Acrobat / Reader 6.0 or higher, though. (Very seldom an issue, but it can happen. After all, Acrobat Reader is free. )

If you scan a lot of large files, and you don't send them outside your LAN, you may want to consider either scanning to SMB or FTP, where there are no size limitations. (Other than hard drive space, of course...)
