    However, there are way more out there ....

      I had a look on the web site and couldn't see anything related to Optical Character Recognition.
      Please don't ask me for firmware or service manuals as refusal often offends.

        All those solutions do OCR and way more ...

        If you are looking OCR only then you may try Omnipage, Nuance, etc.

        If you are looking for Zonal OCR you may try Charactell or if you can afford it go for Kofax.

          Omnipage and solutions like that will not run as a service.

            Can you elaborate on that please?
            You can run Any application as a service ...
            In some cases you might need a utility but there is lots of freeware out there.

              Hi,

              There are many ways to achieve the end result you are after with Re-Rite.
              I have to say, the method you are using is my least favourite and have only used it for its novelty value. Is there a particular reason you use this method?
              The Owl asked about Meta scan.
              This is by far the biggest leap in simplifying the whole Re-Rite process. You have two machines capable of receiving the Meta scan dongle and once set up, a single set of generic templates is all you need.
              Using Meta scan completely removes any need for additional templates or re-rite servicing. All you need to do is keep the address book up to date and you can have any new employee scanning to Word, Excel, etc in minutes.
              This has made our life so much easier, Metascan is now mandatory with every MFP sale.

                Austech what is your favorite way to install Retire?

                I prefer scan to shared folder. Multiple Inpaths all point to the same Outpath. I create a shortcut on each users PC to the same Outpath.

                Can you expand on the idea of using Meta Scan for multiple templates. why do you need two copiers with meta scan enablers? Does this not increase the cost of the sale?

                  Favourite method.
                  This is as simple as it gets.
                  1: Utilise the copier file_share folder as the inpath. This eliminates the need for user names and passwords etc required for the copier to scan to a remote folder destination.
                  2: Load Re-Rite to server or workstation, register etc. Set a new inpath to be the copier HDD ie\\192.168.0.xx\file_share. Note, up to 30 devices can be set this way (30 inpaths)
                  3: Set up the email out details, SMTP server and domain info.
                  4: Upload generic set of templates to copier *See note below
                  5: Propogate address book on copier
                  Done. Approx 10-15 minutes to set up.

                  The generic templates are set up in the following fashion.
                  Four templates, two colour, two black and white, single and double sided. The double side templates are set to remove blank pages. All set to 300dpi Text mode for optimum OCR
                  Destination for the templates are the file_share folder on the MFP
                  On eBridge 3 machines I set the "Menu" key to display the Metascan templates at the first press. ( Code 08-9985 set to 2)
                  Walk up user presses "Menu"
                  Presses "Scan to Email" ( this is the name given to the Metascan template group. OCR confuses people)
                  Selects one of the four templates
                  Presses the "Email" dropdown and the address book is displayed. (they choose their address)
                  Presses "File Type" from the drop down. They chose from Word, Excel etc (all 16 file types can be displayed here but I have cut this down to just 3, doc, xls and pdf3) Note, a file type can be dafaulted here.
                  Press start or scan.

                  Document is scanned, and deposited on HDD with XML file generated by the Meta scan template.
                  Re-Rite polls the HDD (default polling is every 5 seconds) and picks up the file and XML doc.
                  Re-Rite processes and forwards OCR'd doc throught the SMTP server and the user will generally have it sitting in their inbox by the time they get back to their desk. (presuming it isnt a 100 page document)

                  If you have several machines on one site you may only wish to set one machine up with Meta scan.
                  I recently did an install with 30 machines, all with Metascan and the same generic templates. The users can walk up to any machine and use this function. This was a big selling point for this client, and Meta scan is pretty cheap.
                  I have also had clients wishing to use a server folder destination for the staff to retrieve their scanned documents from. Metascan does this in a very easy way as well with one inpath (copier HDD again) and creates the staffs folders in the shared server folder on the fly and dumps their files as individually named files into their folder.
                  This is done through the dropdowns of "User name"( Here they choose from a list) File type (PDF3 being default) and "File name". Very simple and extremely easy to teach clients how to use.

                    I like your comments and need to think through them.

                    If you point ReRite to scan to the File Share InPath, I do not know how you can have several sets of instructions (.cfg) in one location. How would ReRite know which one to process.

                    A good % of the ReRite installs I do are with law firms. I usually need to create several InPaths for Word, WordPerfect, Searchable PDF, Excel, PDF/A. This can take 2-3 hours between the Server/PC and Top Access and testing. This does not include any further customization that you mentioned like Double Sided, Omit Blank pages, etc. It would be nice if Top Access allowed one to "clone" multiple Templates so that you could come back and quickly customize each Template.

                      Back to the orignal issue:

                      I think I might have cracked this one open. With the machine, when you scan to email, you have two options to use for the from address. Send as the Machines Email Address, or send as the Recievers Email Address. Basically, this changes who sent the email address so that when you look on your computer as to who sent the email, it will come up as the machines emails address or your own if you sent the email to yourself and the machine is configured this way.

                      So lets say that the machine is setup to send as the recievers email address for a moment. When this is configured and you then send an email to Re-Rite (which we will pretend is re-rite@company.com), Re-Rite is going to check it mailbox for emails and see that there is an email there, convert it and then send it to re-rite@company.com because that is who sent the email in the first place. If the machine is setup to send an email using its own email address, then Re-Rite will send the converted file back to the machines email address.

                      Now bear with me here as there are two possible solutions to this and I hope I'm not losing you...

                      Solution 1 - You can setup SMTP Authentication so that when you walk up to the machine and press scan, you will be asked for your username and password which is tied to your email account. Once you have entered in your credentials, the machine then will send the email from your own email address, but allow you to then send it to the re-rite@company.com email address. This way, Re-Rite receives the email and sends it back to the sending address, which is the person who authenticated with the machine. The problem with this is that you have to enter in your username and password everytime.

                      Solution 2 - Give everyone access to the Re-Rite mailbox or the mailbox setup for the copier. Depending on how which method you use for the from address on the machine, will depend on which mailbox you need to give access to your users. So now when you email Re-Rite, Re-Rite will send the converted file back to the sending email address which means the email is then saved into the mailbox that the users have access to. The only problem with setup is that if multiple conversions are done, you need to go through and find your conversion. There is a way around this and that is to change the filename before sending so that you will see that file name in the attached converted file.

                      Solution 3 - Yes, I know I said there are two solutions, but this one avoids the EmailIn for Re-Rite and that is to use MetaScan. There are some templates that Toshiba have done so that you can just change the fields to suit your own needs which is exactly what I do so I don't need to write out all the Extended Field forms everytime. Unfortunately I can't upload the files and attach them to this as .XML files aren't valid files for upload, plus the security risk that someone modifies the XML files to become malicious. If you want the templates, please ask your Toshiba dealer or branch for a copy of them.
