As I understand it, in simple terms they are scanning/sending email from the copier with no authentication e'g they don't need a password to send.

Most companies use their own domain to email from using SSL & encryption by using say an Office365 account "copier@mycompany.com"

The issue you have is the IR 3325 is so dated your options are limited.

the best option for you is set them up scanning to SMB folder that way the scans don't leave the building therefore are more secure.

Usually this would be done by their IT dept so pass this over to them if possible & recommend they buy a new printer if they are worried about security.

      Thanks @copiertech.

Which feature in the newer model would solve the problem. Would the feature "SMPTP Authenication" solve the problem.

Thanks for your reply. But the customer is not using Gmail. I shall try with advance 4025 and update you.

Yes any Canon IR Advance machine will be fine for email authentication.

I honestly don't remember if this old model supports SSL or not but just for general knowledge it doesn't matter if the customer uses Gmail or not. All you're looking to do is send email through their server. Just create an account like companies_name_copier@gmail.com and set up the copier to send using that account. I do it all the time.

3200 series fully supports SSL. Come on man! I have them doing it everyday. Go to the email authentication settings. Its right there. SSL on or off. They will also authenticate with Gmail. Gmail has flipped back and forth on the ports 465 and 597 so you may see instructions for both. They do call for 465 for SSL lately. 1030 series doesn't support SSL. Even 3025 series supports SSL.

How to Choose the Right SMTP Port (Port 25, 587, 465, or 2525)

You could create an account at Networksolutions.com to run an SMTP JUST for SMTP. Recently for 365 emails, SMTP authentication needs to be turned on for a machine to use that email. So don't forget that extra step now.
I have used Canon Imagerunner parts for sale. Most are floor model Color and / Advances Imagerunner with some 3025 3235 parts. Several intact machines being parted.
