    1. Verify the username/password entered at the device when performing the job is correct.

    2. Verify the user has write access to the share to which the file is being sent.

    3. Verify there is no disk quota conflict on the Windows server. Disk quotas are used to limit the amount of disk space a user may have. If the user has reached their disk quota the operating system will reject the file even though criteria 1 and 2 above have been met.

What program are those screen shots from?

I need to configure my 1025if for network scanning and also scan-to-email functionality, and I have not had much success.

            1. Theres one more port; 465

            465 = SSL

            587= SSL\TLS

(Sound off if Im wrong guys, Im here to learn..)

            2. verify Username/password to email account (used for MFP SMTP authentication) has no clerical error...

            3. If the MFP supports the encryption types on the server side..

Also, I've seen some devices that wont let you scan when, for example, a 1and1 hosted email account is set for the copier's SMTP Authentication, and you want to scan to a user's gmail account instead of their company 1and1 account.. Lastly, if the network condition is horrible and DNS cannot be easily resolved, I go to a command prompt, ping "smtp.yourmailserver.com" and record the IP address, then plug it in the MFP for server address.

Just a humble opinion mind you, Ive never touched one of those models..

              Gmail

The following are the Gmail SMTP server and port settings for sending emails through Gmail from any email client program:

              • Under Outgoing mail, set Gmail SMTP server address as smtp.gmail.com.
              • Configure Gmail SMTP user name as: your full Gmail address (including @gmail.com) Google Apps users may have to enter username@your_domain.com.
              • Configure Gmail SMTP password as: Your Gmail password.
              • Configure Gmail SMTP port as: 465 or 587.
              • Configure Gmail SMTP TLS/SSL required as: yes.
Gmail POP3 or Gmail IMAP through settings in your Gmail Account.

              http://techblissonline.com/troubleshoot-gmail-smtp-server-connection/

              ------------------------------------------------------------------------------------------------

Gmail service providers require email clients (for example Outlook Express) to authenticate via SMTP port 465 with secure communication (SSL).

The issue is when the exact same configuration information is transferred from email clients to Canon devices, customers cannot send email. The result is error code #839.
The reason for this is >>>>>>>>>>
Canon devices do not work when port 465 is used for SMTP transmission.

Port 587 has to be configured on the machine for send via e-mail to work.

To resolve the issue, SMTPTXPN option has to be changed in Service Mode level 2 to 587 and Canon devices must be configured to authenticate via SMTP with SSL enabled.
              - Access Service Mode level 1 by pressing Additional Functions, - 2 and 8
              - Access Service Mode Level 2 by pressing Additional Functions - Additional Functions - 2.
              - Once you are in Service Mode level 2, select Copier > Option > Body > SMTPTXPN, enter 587
              - Select OK and recycle the machine to apply the change.

After machine recycle, select Additional Functions > System Settings > Network Settings > Email/I-Fax.
              - Depending on which service providers you have, enter smtp.att.yahoo.com or smtp.gmail.com for SMTP server
              - Enter a valid user e-mail account for E-mail Address.
              - Select Authent./Encryption > SMTP Authentication (SMTP AUTH) - On
              - Set Allow SSL (SMTP Send) On.
              - Select OK to apply the changes.
              - Access Network Settings and make sure IP address, Gateway, DNS settings are correctly entered. (These information can be obtained by using a customer's networked PC nearby, access the command line, enter ipconfig /all.)
              - Restart the Canon device and start sending e-mail once it is Idle.

I did not think the 1025 supported ssl. If it does not then it will not work with gmail.

These models do not have the option to Allow SSL for sending and receiving email.

You can use SMTP or POP authentication but not SSL

While I have you here I gotta ask my n00b question.. Here goes..

A workaround could be a virtual smtp relay setup from IIS on Windows Xp machine, given that the MFP is pointing to the PC as it's SMTP server, and that the relay is configured such that it will take the message from said MFP and pass it to the gmail server.. I dont like this method since it is not ideal in every situation ( haven't seen it done in Windows 7, requires the customer to have Windows install disc ( I have a Dell OEM XP cd with sp3 slipstreamed in there, but Im worried about licensing and liability issues)

My question: IS there a better method for this protocol-negotiation fix, besides me saying "Your machine you just bought cant do this.."

As you can see, Im new to the industry, and Im receptive to new and fresh ideas..

Sending Email Without a SMTP Email Server or Bypassing a SMTP Email Server
                      All Universal Send Capable imageRUNNER Models, Laser Class 710 / 720i / 730i / 830i

                      Problem :
Cannot successfully send Email from a Canon device due to one of the following: - The customer does not have a SMTP Email Server.
                      - The ISP's SMTP Server requires authentication to send out. The ISP will not alter their SMTP Server's configuration.
                      - The customer's SMTP Server requires authentication and they will not alter the SMTP Server's configuration.
                      - Need to bypass the customer's or ISP's SMTP Server due to its authentication or security configuration.
                      * Note - The imageRUNNER C3200, C3220, C3100, C3170, C2620, C5800, C6800, C5870U, C6870U, C4080, C4080i, C4580, C4580i, C5180, C5180i, 2270, 2870, 3570, 4570, 5070, 5570, 6570, 8070, 9070, 105+, 7105, 7095, 7086 models, and all newer models now support SMTP authentication via a username and password.

                      Solution :
A SMTP Server is a program that downloads Email messages from a client and forwards them to their destination. When you send messages from your Email program (or Canon device), they are not delivered directly to the recipient. Instead, they are first downloaded by an intermediary (a SMTP Server), which then ensures that they are sent to the right recipient. If there is an issue with the available SMTP Server that prevents the Canon device from sending out Email, the customer can install a SMTP Mail Forwarding program on a local PC as a workaround. The PC running the SMTP software will act as the Canon device's SMTP Server. It will forward or relay the Canon device's outgoing Email to the outside world. This PC will need to have the ability to reach the Internet. The Canon device will need to have its SMTP Server setting configured to the IP address or hostname of the PC running the SMTP software.
*** Canon does NOT support any 3rd party SMTP software.
                      * Note - If the site's gateway to the Internet is filtering outgoing traffic (using access lists, firewall, etc) (blocking SMTP traffic - port 25), these workarounds still may not work. The outgoing Email traffic may be stopped at the gateway or at any point in the site's network where traffic filtering is occurring.
                      * Note - Certain Internet Service Providers are now blocking port 25. They have chosen to do this in order to cut down on the amount of SPAM mail that is sent. All Email sent via the Internet is routed through port 25, the channel used for communication between a mail client and a mail server. This filter can create problems for Email servers and block legitimate Email as well as SPAM. You can check with your ISP to see if they are doing this.
                      * Note - If your Canon device will be sending out a high volume of daily Email through your SMTP Server program on the PC, this may not sit well with your ISP (especially if the customer is registered for a home account, not a business account). Internet Service Providers monitor the traffic on their networks. If they notice a large amount of SMTP traffic coming from your node, they may contact the customer. Depending on their service agreement, they may want to stop or reduce this traffic.
Various SMTP software solutions are available. Many can be downloaded from www.download.com . The following 2 solutions were tested in a lab environment and functioned correctly. These are just examples and are not supported by Canon.

                      I. PostCast Server - This is a 3rd party SMTP mail server program that can be run on Windows 95, 98, Me, 2000, NT, or XP. It is currently offered as freeware (license is free). You can get more information on this software (and download it) at http://www.postcastserver.com/. This application is not supported by Canon.

II. Microsoft Virtual SMTP Server (IIS) - When IIS is installed on a Windows 2000 or XP PC, you can choose to install an optional SMTP Service. This allows you to configure a Virtual SMTP Server on this PC via IIS.

To install IIS with the SMTP Service on a Windows 2000 or XP PC:
                      1. Click Start, Settings, Control Panel.
                      2. Select the Add/Remove Programs applet.

                      3. Click the Add/Remove Windows Components button.
                      4. Check the box for Internet Information Services (IIS).
                      5. While IIS is highlighted, click the Details button.
                      6. Verify the SMTP Service box is checked. If it is not checked, check it.

                      7. Hit OK. Hit Next and continue the installation (you will be prompted for the Windows OS CD).
                      * It is a good idea to reapply the latest Service Pack from Microsoft to the PC after installing IIS. Always install the latest updates from Microsoft to ensure the optimum performance and security of your Microsoft products.
Once IIS is installed, click Start, Programs, Administrative Tools, and Internet Services Manager. This will open the tool used to manage and configure IIS. A Default SMTP Virtual Server service should be present.

Configuring the SMTP Virtual Server in IIS:
                      1. Right click the Default SMTP Virtual Server and select Properties from the popup menu.
                      2. On the General tab, set the IP address to be used by the SMTP Virtual Server (select an IP address configured on the PC's NIC). Hit Apply. On the Canon device, enter this IP address for the SMTP Server setting.

                      3. Click the Access tab.

                      4. Click the Authentication button and check on Anonymous Access. Hit OK. Hit Apply.

                      5. On the Access tab, click the Relay button. Click 'Only the list below' and click Add. Create an entry for the IP address of the Canon device. Hit OK. Hit OK. Hit Apply.

                      6. Configure any other IIS settings required in your specific environment.
                      7. Right click on Default SMTP Virtual Server and select Stop.
                      8. Right click on Default SMTP Virtual Server and select Start.
