    Koncia Minolta C554 - Scan to email/login error

    Hi guys,

    got a customer with a C554 that did scan to email, everything looks to be correct but the machine errors with login error.

    they have a C554e at another site that uses the same exact details and works,

    the machine doesnt need authentication details but gets a login error?

    the smtp address they use is XXXXX-co-uk.mail.protection.outlook.com

    literally copied all settings from other machine but not worked

    the C554 has special firmware on as its a non e admittedly hasnt been updated for roughly three years

    XXXXX-co-uk.mail.protection.outlook.com
    Port 25
    admin and device email is same,
    requires no authentication,
    TLS/SSL settings all ticked,
    dns is exact same as working machine

    id try another working account first then id use the web browser on the machine to log into the outlook account to verify the credentials work.
    does outlook require an app password like gmail does?
    We know a thing or two because we've seen a thing or two.

        the the working machine doesnt use an account to authenticate? when i have spoken to their IT they said it doesnt need one

          done a remote session,logged onto both machines online and input the details side by side

            I had a similar problem in a client, I entered the data by hand and it gave me an error and I exported email and administrator data to a USB and it worked for me

              Try a network setting initialization. Had this before.

              When in doubt use gmail...

                Usually when authentication is not needed and simply using port 25, the IP address of the copier will need to be "whitelisted" in the mail server so that it can send without authentication. I would check with their IT department to confirm.

                  The thing that jumps out to me...e series works, non e does not..The non e will not support the required TLS unless its been updated to a special firmware. The issue is the non e has the SHA-1 encryption, Microsoft will no longer accept this. It's also possible that your SSL cert is expired. The non e is way over 10 years and the cert life was 3350 days

                      because once you reach 15Gb of scanning in the gmail account sent box no more mail is possible until someone logs into that gmail and deletes the old stuff that is stored and taking up space.
                      outlook is just a relay, gmail stores your stuff in the cloud until you delete it.

                        It may be firmware related, because there were some updates to TLS encryption a while back that can cause issues. However, it is giving a login error which may mean a couple of things.... Are the email addresses that you're trying to send to on the same domain as the email account being used? Usually with office 365 you can only send to people on the same domain without using authentication. If it is still giving a login error when sending to folks on the same domain it could be an error with how the account was set up even though IT is saying it shouldn't need authentication. Or, as already stated, the IP may need to be whitelisted by IT. Try sending test messages with the same settings using a simple SMTP mail client on a PC at the site, and you may get more detailed information if it fails. Or, if it succeeds then you could be looking at a firmware issue.

                          When it comes to Gmail updates, the most recent involves requiring 2FA and APP passwords..Login failure would be directly related to this. Server connection error would be related to TLS updates. E
