this seams to be a problem for some reason. this customer is using comcast and i can connect to the server in the test but authentication fails??? any ideas. it was working on the ricoh that was installed before the 250ci that we delivered... who hosts there own email server for copiers to get away from having to use hosted servers and fight the issue, i want to know what all is needed and how hard, how much money and so on to get it set up in our office so we dont have to deal with this BS anymore

I had major issues myself with a kyocera 520i scan to email with microsoft exchange.
I had two ITY guys try to fix it along with their IT people and could not resolve this issue UNTIL I got a Microsoft exchange expert out there to manage THEIR server. It was a new machine new customer install and they were all pointing at me and my machine when it was a issue with their server and the lack of knowledge to manage it.
This fiasco cost me about $600.00 but it got done.
Same issue with sporadic Authentication error messages. -
The smtp "test" only makes sure it can find the server, it doesn't check authentication or port settings. I would check the settings on an email client on one of the users workstations and make sure they match. I'd also try setting POP before smtp in the authentication so it logs in before it sends. It won't try to recieve.
As far as an email server, setting one up would only work if the customers ISP allows relaying. I have a generic account set up on our mail server that I've had to use at some of our customers, but at some it won't work simply because their ISP only allows mail to be sent through their mail server.
The best rule of thumb is getting it to work on an internal SMTP/Exchange server is about 100%. On an external mail server that works from the clients workstations probably 75%. On a mail server that is not the ISP or a known good working mail server about 50% or so.
Some have had success using a generic Gmail or GMX account. It all really depends on the customers ISP.Comment

As far as comcast goes, I've only had issues with scan to SMB. Their DNS now resolves everything that fails to their search site, and Kyoceras check DNS before WINS or local broadcast for any name resolution, so looking for //nearbycomputer/share would lead the copier to try to connect to Comcast's search webserver and fail. I told the copier to use 4.2.2.2 for DNS and things finally worked. Unfortunately, this probably won't help with your email problem.Comment
