    Ricoh C3500 / Savin c3535 --- Scan to Folder or Email

    Ok, I'm new to the forums, and have read and researched as much as I am able ... So PLEASE don't lynch me for asking for firmware (if that's what is needed)! ... Just looking for some guidance...

    We have a Savin C3535 (Ricoh C3500) that was purchased from our Landlord 3 years ago. We had it setup to "scan to folder" for all our the individual PC's in the office. This of course, worked great until about 9 months ago, when we got updated to Windows 10. As I understand, there are configuration settings in Windows 10 that is essentially the problem....As I've read, there may be a firmware update that may alleviate this, and allow us to "scan to folder" once again.

    In the meantime, based on the recommendation of one of our Copier Technicians that we've used in the past, he said we should configure the machine to "scan to email" instead. Well, as I've read in the forums and online, we have a machine that does not support SSL, and our company's email system is all through Google/Gmail, which seems to compound this issue.

    Although the "Scan to Email" seems to potentially be the best option, I really have to preference....just need to have the ability for employees to scan a document and have access electronically in some way. If updating the firmware to allow to scan to folder is the best option, I have no problem paying for it, just need to be pointed in the right direction .... If the scan to email is best, and somebody has experience setting this up on these machines with gmail, I would appreciate any info you can share (I have searched online and gotten some information, but have been unsuccessful getting it to work)

    If the firmware is the custom/special NCS for win8/server2012, you are win10 compliant. As far as scan to email, if port 25 is not blocked, try aspmx.l.google.com as the smtp server (sending only to gmail emails). Last but not least, in the Scanner, choose Store File and then select Store to HDD. You can name the file if you want like with the other options and hit Start to scan it in. Go to the Web Image Monitor (WIM) do not log in as admin and go to the Document Server. You will find your scan there. Select it and Download it. You will need to then delete the scan after downloading as the image will remain on the HDD. This works regardless of the OS of the PC or Mac and does not involve any protocol (smb, ftp or smtp) or authentication.

      Scan to FTP is pretty easy to setup on these machines.

      You can install something like FileZilla Server, either to an actual server, or to each individual PC.

      Scan to FTP uses it's own authentication, so any changes to the PC's won't affect it. If you are worried about security, as long as FTP is blocked by the gateway's firewall, it is just as secure as SMB.

        Thanks for the response. The only reason I believe the firmware is an issue, is everything worked fine before Windows 10 happened. I also know for a fact that no software/firmware has been updated on this machine for at least 4-5 years. So I know it could use some updating either way...

        I've tried using port 25, which as far as we can tell is not being blocked by any firewall or our office's router, but transmission still fails. We've checked the settings and they all appear to be correct (as far as we can tell)...

          Since you are using Gmail it actually simplifies the email problem, that is as long as you are willing to email to yourself and then forward as needed. This link should help.

          If only other potential problem would be your ISP. The DSL modems used by AT&T Uverse and a few others block all SMTP ports from non PC devices unless it is to their SMTP server. There is a way to turn off port 25 blocking, but every time the modem updates firmware, it is reset to default. If you are using one of the ISPs that block, there might the be option of signing up for Go Daddy email accounts. At one time they allowed port 80 SMTP. Port 80 cannot be blocked without blocking all browsers as well.

            Downloading from the Document Server does not work without the file converter option in the copier

            It is hardware, and I've yet to see anyone ever have it.

            It has got to be one of, if not the most overlooked and misunderstood MFP options of all time.

              Try port 587 for scan to email.
              Some block port 25 and some block 587.
              Put in the information and test connection from machine.

              Also go into WIM and under configuration, check system log.
              It will tell you if it is blocked or authentication error.
              Why do they call it common sense?

              If it were common, wouldn't everyone have it?

                I agree with Ruben on the FTP scanning.
                I've used the custom firmware update and had many of these models SMB scanning to Win8 when it first came out, but somewhere along the way - even prior to Win10, I believe a windows update caused them (C2500/c3000/c3500/c4500's) to fail again. I haven't been able to get one to scan to folder on on a WIn 8/10 box (except for FTP scanning) for about 2 years.

                  I think there are USB ports, but they won't help.

                  All scanning on Ricoh machines, other than some very small, "consumer grade" models, use Ethernet. USB isn't spoken for scanning.

                    As long as security is not needed, log into :

                    User tools |Administrator | delete from doc-server (default 3 days) set the value lower.

                    The above will automatically remove scan to doc-server files.

                      If you have a Windows 10 PC that is always on, you may be able to set it up as an SMTP server - most likely at very little or no cost.

                      Windows XP used to include this, as part of IIS, but I'm not sure it's there in Windows 10.

                      Here is a bit of freeware I found: https://www.windows10download.com/free-smtp-server/

                      As always, as with any freeware, make sure you read the T's and C's to make sure you are using it legally. Note: I did not do that for the above link.

                      I have set up a number of customers over the years this way.

                      Again, make sure the PC is always on, and that you meet any freeware requirements.

                        Smtp2go is a great reliable workaround that I've configured for many clients.
                        It's free for up to 25 emails/day

                            Thanks for the response! (Along with everybody else!) ... I've looked at stunnel previously, but there's no machine constantly running, so it wouldn't be a feasible option ... I'm looking thru some of the non-ssl-email threads and will hopefully come up with something. Since we use gmail, I'm working on using Google's smtp-relay, but I'm having issues getting it to work. The machine won't connect on Port 25, so looks like we're lucky enough to have an ISP that blocks it. The machine will communicate on 465 & 587, but comes up with a connection error when connecting. Looking more into the information Google Provides, it seems to be setting thru the g-suite admin console, which hasn't worked so far, even following their directions. Suppose I'll give their customer support a call this week, otherwise it's back to the drawing board.

                              You could probably pick up a refurbed desktop PC for very cheap money these days. I just found one online for $179.99, with Win 7 Pro 64 bit, and 4 GB of RAM.

                              It would need to be Windows 7; XP is too vulnerable now.

                              Once it's set up, it wouldn't even have to have peripherals connected to it, as you would control it via RDP. It would, of course, stay on 24/7.

                              Set it up to be a mail server, and point the MFP at it for SMTP, and even add some shared folders to it if you want.

                              I am almost positive it would need to be Windows 7 Pro (or higher); it's doubtful that Home or lower would work.
