Scanner email destinations with User Code

    Scanner email destinations with User Code

    Hi Everyone,

    I'm wondering if Ricoh Machines allow the following scenario ( 4 series colour machines)

    Lets say we are going to be setting up 5 user codes to use scanning and copying functions. Each of those 5 users have 3 separate email addresses that they want programmed in the machine.

    Is there any way to setup the address book so that the Users can only see the 3 email addresses that are for them in scanner destination?

    Its not a huge concern but it is just bugging me to see if something like this is possible.

    The alternative is that you simply add all the emails in the address book and they're visible to everyone when selecting to scan.

    Are you talking about sender addresses or destination addresses? If sender addresses you can set a separate user code for each. I would advise though that everyone only use their company assigned email address. If they want to send something to a friend using personal email addresses I recommend that they scan it to themselves and then use their gmail, etc to forward it.

      Hi Slim,

      I was referring to destination email addresses, should have clarified.

      I know that the user code gives you a spot for an email address but the Oddie becomes when user code person has 2-3 email addresses for themselves.

        I know on older models you only had one address book. The newer models came out after I retired. They might be able to configure personal address books or pass code protected entries.

            How around setting up user authentication, with Windows log in? so before that user scans they have to login to the machine then they will only see their address book associated with that account?

              I think you can only have one email address per user

                  Could do but I think went you add user to group you can still only add one email. May be easier just create the same user multiple time with slightly different name that relates to different email addresses.

                    You can add multiple users to a group and each one can have its own email destination. The only thing is when you select that group then the email will be sent to all of them.

Program one user with has 3 different email addresses like private email, work email and other I think that's why I suggest program the user 3 time and naming like Joe blogs {private} Joe blogs {work} etc I think that's what he wants.

                        I was looking at the possibility that it would go to only the email selected and not to the group. Spent a couple of hours with these machines and still no luck.

                        Guess the only solution is to keep all the email addresses visible. If client does not want to use papercut or other software, they'll have to deal with this.
