Very strange scan to folder occurrence

2 days ago I was trying to set up scan to folder remotely on a 'new' MP C307. They had just replaced an old Ricoh device, so the individual folders were set up on the server already.
I got onto the customers PC remotely and accessed the WIM, and started setting up the first scan folder using the limited information that their external IT company had provided.
Each time I made any changes, someone in the office tried scanning to that folder, and it didn't work, I checked all the usual, such as DNS, etc., but...now here's the strange thing, one time when they tried scanning, I had the scan folder open (with all the PDF files from their previous device in it), when a file appeared and I thought I had got it working, but the file was called RICOH and it was a GIF
When I opened the file, it had a black background, and a small RICOH logo in the middle.

I was on the phone for over an hour, and never got it to scan, and it never sent another GIF file. I had to leave, to take my cat to the vet, so I emailed instructions for their IT to set up all the correct paths, and authentication details, then I spoke to them again yesterday, and it's scanning fine.

I suspect I'll never know why/how it sent that GIF, have any of you ever come across this before? I think I can guess the answer

maybe a joke? or someone from IT, was connected remotely in parallel to you, and wrote / pasted the first file at random in the folder to check permissions? ...

anyway, that jpg file that says ricoh, I've already seen it somewhere, but I don't remember where

No, their IT are an external company that only go on when they request it as they have to remote into the network too.

It wasn't a jpg, it was a gif (which isn't a supported file), and the file went into his scan folder, which, in theory, only he has access to

from how you described the gif icon, some image component of some web page comes to mind (?) it's not that the customer has done some strange maneuver with the keyboard, or maybe a sneeze, and the unintentional click on the mouse are escaped...

for me seem a saved component of some web page, how it ended there, I don't know, for sure the machine didn't send it.

Totally weird. I'd probably have my notebook hooked up for testing SMB scan against the customers enviroment. Perhaps someone was on the WIM and moved that gif via drag & drop.

What model type was the old ricoh? usually it's possible to backup and restore the adressbook data via WIM across "some" machine generations. If you're lucky the authentification credentials has been stored with the SMB target in the adress book (instead of using the global setting).

What model type was the old ricoh? usually it's possible to backup and restore the adressbook data via WIM across "some" machine generations. If you're lucky the authentification credentials has been stored with the SMB target in the adress book (instead of using the global setting).

It really was weird. I'm no longer a field engineer, I'm permanently on the helpdesk so I can only do anything remotely.

I don't know what the old device was, and it had already been taken away, but I have let them know how to back up/restore the address book now.

Their IT is a 3rd party company who only does work when required, so it's highly unlikely that they did anything, and there are only about 6 staff in the office, it didn't seem like they were particularly tech. savvy, so that seems unlikely too. And the file appeared when I was watching the folder as they tried scanning for me.
I suspect I'll never get to the bottom of it.

That looks like one of the Branding kit labels.
