c5501 "Not enough room in destination hard disk"

I just got an email from the 2nd customer with a c5501 getting "Not enough room in destination hard disk" when they scan large files to email - 40~50 pages. I think it's due to the partition size allotted for email scans, but I'm not sure.

The 1st customer had other Ricohs (different locations) that didn't give them the message. I updated the firmware & replaced the HDD without any luck. After talking with their IT, we figured it was just some quirk and setup SMB scanning for their larger files. The other locations were part of a company-wide rollout, but now I don't think they were all c5501's.

    Any ideas?

The first thing you need to clarify is if the problem affects scan-to-email, scan-to-SMB, both, or none. These functions are entirely separate, and it's unlikely that both can be affected.

My guess is that your customer is scanning to email, and this message is about exceeding the email attachment size set by the administrator. Some of the things you can do to reduce file size, and consequently increase number of pages, is to reduce resolution DPI, use black & white scanning rather than color, and selecting Text original type rather that Text/Photo or Photo.

There is no limit to the size of SMB scans, except perhaps the size of the scanners hard drive, which should be many hundreds of pages not 50 pages.

Like almost every scanning call I take, the first question is: What kind of scanning? Email, SMB, FTP, or TWAIN?

    1) demonstrate that you've read the manual
    2) demonstrate that you made some attempt to fix it.
    3) if you're going to ask about jams include the jam code.
    4) if you're going to ask about an error code include the error code.

Make sure that the max email size is turned off. User tools>scanner features>send settings>max email size. It could also be an email server issue, that there is a max email size there as well. the option could be to do SMB scanning.

The issue is only when scanning to email.

The file size, by measuring the SMB scans, was below the attachment limit. Their IT guy seemed pretty sharp, but I guess he could be wrong. This might be a new confusingly worded feature that lets the user know they've reached the limit.

I just want to eliminate the hardware, since it's my 2nd c5501 getting this message.

You stated that the file size was under their email attachment size limit when the same file was sent to an SMB share.

In reality, MIME encoding actually causes the file to be larger when sent via email.

Let's say that their email size limit is 10MB, and when scanned via SMB, the file is just under the limit, say at 9.8MB.

In reality, the same file would be just over 10MB when sent via email.

I don't remember where I read this (It may have been the Ricoh TRSC), but I have run into it a few times already.

Interesting! I never knew the explanation, but I have noticed that with the exact same settings Email is larger than FTP, which is larger than SMB. The difference is usually less than 1K per page at 200x200, black&white, Text, but consistent.

I don't understand most of this, but you might: MIME - Wikipedia, the free encyclopedia

              I appreciate the input.

The 1st c5501 was about 3 or 4 months ago & I can't remember what the actual file sizes were, but it was around 40 pages. I was able to get a few more pages after formatting the HDD, which is why I replaced it, but the new HDD didn't fix it. Formatting the thumbnails & logs helped me in the past on a 3260, which is why I'm leaning towards the partition sizes. On the 3260 I'd get the divide & send "Memory Full" message after about only 20 - 25 pages 2 or 3 times a year.

You could try going into SP mode and doing a scanner memory clear. Other than that, All I can think of is the max email size as has already been posted, especially if you have already changed the HDD, and formatted. Only other thing that MAY be causing it is an issue with the mail server. You could try testing it using a different SMTP server to see if the problem remains, or is specific to that SMTP server.
