Updating address book - block users from using device?

Hey all,

I need to add about 30 people to a Ricoh MFD address book via WIM.

The problem is the machine is so busy that everytime I try to add a new user it fails due to the device being in use!

Is there anyway to temporarily disable the machine from prints/copies/scans while I do this?

There is one or two ways you can gain network control of the MFD.
Unplug the network cable outright.
Plug a laptop and crossover cable in.
Through the front panel change MFD IP address off the subnet temporary.
Disable/offline the print driver temporary.
Setup user login password(s)

Why don't you just copy the address book off another/older MFD using the WIM and save it to the new MFD.
Heaps quicker and easier to edit. Save a backup copy to USB stick for next time.

Smart Device Monitor for Admin will let you 'build' and address book 'off-line' and push it in one quick go. That way you only need a very small window of opportunity as compared to one entry at a time with WIM.

Problem with that is that walk-up activity will interrupt the WIM and any changes he's trying to do, not just network activity such as printing and scanning.

Fair enough a big 11x17 sign that says out of commission due to updates would be more realistic

I like this one the best. All the print activity will wait in their various queue's until you change the IP back (assuming, of course, that the customer is printing to the IP, rather than the hostname). =^..^=

I think what the original poster was talking about was not print job coming in but was talking about people walking up to the machine to make copies, send faxes or do scanning. Using a laptop directly connected to the machine is the best solution. Since you are standing in front of the machine, no one else can use it. Be sure to go into Address Book Maintenance and backup the address book when through. Then if you have more machines to update with the same address book, just restore to them.

The other option is to enable user authentication, but don't give rights to anyone for anything. You can still get kicked out by someone trying to access User Tools.

Down side to laptops is a lot of network i.t. fellows frown upon outside equipment being used in offices. I think a sign taped to machine with a time frame and reason for sign would get point across.

Three problems here:

1. In connecting directly to the MFP, you are not connecting to their network.
2. You are actually helping IT. For most of my customers with IT departments, updating address books is the responsibility of the IT department.
3. The original poster sounded to me like an end user.

No I am indeed local IT so I think I will just connect a laptop directly to the MFD and blitz through adding the new users.
