[Misc] Sharp MX User Control Settings

Good morning my fellow copy technicians!

The question you're about to read may have the simplest answer and you'll probably think I'm a complete idiot for asking it, but bare in mind that I'm a "newbie" in the copy industry. (Go easy on me!)

I'm currently working on setting up the User Control for a MX-6240. The client requested to use an account name, "Operations" for example and to have one password for Black and White printing/copying and one password for Color printing/copying.

My question to you guys would be, is this possible? To use just one user name with two password to do two different things? Am I overlooking something really simple?

We just received a 6240 at my office to mess around with, so any suggestions that you have, I'm going to mimic on this machine and let you know how it goes before I make any changes to the client's machine.

    Thanks in advance!

Re: Sharp MX User Control Settings

Once the users have been setup in the accounting controls, you can create authority groups and restrict usage of colour or monochrome copying/printing, then assign users to specific groups. They'll have their own individual access codes for accounting purposes, but certain users will have access to b/w, and others to colour.

I've never had it come up before, so I don't know if you can create duplicated user names. If possible, then it would just be a matter of creating a user "Operations" with b/w access, and another "Operations" with colour access.

A quick test on my 4501 in the shop here confirms that duplicate user names can not be registered. "Operations1" and "Operations2" could be used to almost the same effect, or any variation thereof.

They way we set it up for users is to have a mono code and a colour code, change the authority of both to match what is needed i.e. mono restrict colour and then just login using the 2 codes. i.e. 11111 or 22222 you get my drift.

Be sure to enable user codes BEFORE creating the users or groups. If you create, then enable, the codes do not always work.

You need to enable "User Authentication" first, then input User codes with the appropriate Authority and Page Limit groups.

I have a walkthrough with pictures created for setting up user control. You might find it useful to provide to your customers.
              It can be found here.

I also have a ton of other procedures like this typed up with some youtube videos to help people out.

Here's one: how do you make use of the Status Message by Email Request through the 'Advanced' tab in the 'Email Alert and Status' field of the web page? I've given it valid POP settings. I'm assuming we should be able to get meter readings on demand this way? Maybe I'm misguided.

As far as I am aware that doesn't work, think the only email alerts that work are the ones like toner empty, paper etc.

If you were to get it to email you, you would need Sharp's RED Reader program. Their Remote Email Diagnostics give too much information presently, things like what paper trays are empty and what toners have run out, skipping more important things like maintenance counters or else burying them in one of the 8 parts it sends. I could be wrong on the exact quantity, it's been a few years since I last tried it.

Last I heard, Sharp was attempting to improve RED to make it more friendly to us, but as far as I know nothing has presently been done to move in that direction.

Every one of our Sharps is set up to send the meter reads and alerts through email, but not "on demand". Once the SMTP and DNS is entered, the machine will email meters and alerts on the set dates. However, if the customers firewall restricts email leaving the building, we set them to go to an internal person who then forwards the reads to us. With the newer machines, you can pick and choose the alerts you wants. For example, we do not want an email every time it jams, or runs out of paper. On older Sharps, when it is turned on, the emails start flying for every jam or low toner or someone looked at it funny, etc...
On 4101 and up, enter SIM 26-69 and set value E to 0. If this is not done, the alerts will come when the toner is empty; this allows it to send when toner is low. Also, go into the web page and under Security settings, set the encryption level to low. You will have a higher success rate with emails.

I have not used the RED software mainly because of all the horror stories I have heard. As long as I get my meters every month and my maintenance alerts on the 15th, I am good to go.

Good point on the newer models. My machines are all set to email out meter readings too the same way, or as much of them as humanly possible. Life in the sticks means not everyone gets network access...

RED is absolutely horrible though, as I said, last I heard with the Aries/Virgo/Gemini machines it was supposed to have been improved, but not much more than what can already be set through emailed meter readings.

I had read the TT re: 26-69 from 1 to 0, tried it on a machine here in shop slated for delivery and option is only 1-3, won't accept a 0 with newest firmware installed. Maybe not necessary now with new firm, I don't know...
Anyway, here's a tip for No Login for black/white copying with authentication enabled in case someone is looking for it, its from around 2008 but I'd never seen it:
