Scan to email absolutely not working

    [Misc] Scan to email absolutely not working

    Hi all,
    Work on Ricoh Mpc4503. Enter correctly with working settings known to be working on other machine. But this one has a result of Authentication error. Wondering it has anything to do with certificate or how to reinstall back to factory?

    If you getting a Authentification error that usually means the machine is getting out but the email account is blocking it is the firmware up to date don't totally reset machine back unless you know what you are doing

      What email account are you using, Gmail, O365 etc?

      I guess you have confirmed your Gateway & DNS are correct? As I test I turn on DHCP let the Ricoh choose the network settings & try a scan again.

      As also mentioned here update to that latest firmware package.

        Who is the ISP? Are you using an email account from the ISP? Are the domains of authentication email address and the sender email address the same?

          I was able set it up and successfully use Outlook with port 25 for internal emails. But port 587 or 465 will not work with either G Suits or O365. It seems it blocks on these ports. Any ideas. Thanks.

              If nothing else works try setting up an account on Go Daddy's secureserver.net. You can use port 3535 or port 80. SSL and TLS are not required. Port 80 also gets around service providers that only allow email scanning to their own smtp servers.

                Wait... Complete sent from port 25 but Not actual receive anything email at all. What is going wrong?

                  Does customer have a sonic wall or other port blocking device?

                      Did you check Spam folder? Did the sender get any rejected notice?

                        Im struggling with this as well on a Ricoh MP305 out in the field, and the IM C3500 here at the office. Emails fail on both. Using gmail account with less secure apps turned on. Comes up as an authentication error. When I input all the same setup on a Konica Minolta, it works fine. I can connect to the gmail smtp server from the Ricohs. Firmware up to date.

                          I can't speak to the reason that the Konica Minolta machine works, but as for the Ricohs, and as I eluded to earlier in this thread.
                          Enable 2FA and then create an app password for the machine (s) .
                          I have 2 units set up that way in my home office right now, including an MP305, and do it all the time in the field

                              Can you send documents to your own office?
                              If yes, you must instruct the IT'er to let through the scan documents from this Ricoh machine to there mailbox.
                              Because there is a private firewall between there mailbox and the senders, managed by there IT office.
