    [Misc] MP4000 User Security settings. Help required

    Hi, Hope someone can help, I have an MP4000, i've set it up to pull the address book out of my active directory with the ldap settings and tested the scan to email function. It all works well.

    The issue I'm currently having is that I want to allow everyone to have access to copy function, ideally with no request to log in, I need to however have some security on scan to email.

    I'm quite happy to user windows authentication for this but I don't seem to be able to get the settings right. Everytime I set it and no matter which functions I allow I get the same messages preventing options that I've set to be allowed. Am I setting it up incorrectly?

    Any advice would be much appreciated.

    Just thinking that maybe i've not explained myself very well.

    Although I can see my global address book and scan to email to any of the addresses i'm concerned that anyone could scan anything to directors etc without there being any log to determine who sent it.

    What i'd like is for someone who uses scan to email to have to log in to do so. Can this be done?

      Are you managing your users through WIM or SDMA or are you using the Op panel?

      For each user you are going to want to set up sender authentication. To do this from the op panel, go to the address book management in user tools>system settings>administrator, and select the user you want to have 'login' for the scan to email function. From there, under the protection tab, you can set up a user code for authentication (make sure user has sending enabled!) so when they select a sender, they have to type in a code. You would also want to disable 'auto specify sender name' in user tools>system>file transfer so each user has to select themselves as a sender.

        In User Authentication you must specify which functions you want to limit, in your case the scanner function. Then you have to create users in the Adress Book. You can assign each user a password/pincode/windows authentication, and specify what function the user may use.

          If I understand you correctly the issue is not with LDAP (anonymous access) but with your User Authentication settings. If you set your User authentication to use Windows authenticaton that is the first step. Then I believe you want to restrict just the scanner with win auth.
          Then change your sp5420-31 ( might be special sp= use # key when entering sp mode ) . sp5420 allows you to specify which function will use the win auth. and are only enabled after user access has been enabled. I think you change from 0 to 1 . Reboot and see if that works.

            When windows authentication is selected all functions are affected, you then need to use SP5420 to disable authentication for that particular function.

            Ex. If you do not want authentication for copy function then change SP5420-01 to "1"
            Doc Server is SP5420-11
            Fax is SP5420-21
            Scanner is SP5420-31 ( you want this setting as "0")
            Printer is SP5420-41

            Hope it makes sense.

              Hi Everyone,

              Thanks for all the replies, my prefered method is Win Authentication and I've managed to get it to work, just not tailored to my needs.

              Obviously I need to use SP5420 as mentioned in the last two posts, I'm not expert on Photocopiers and I guess its some sort of service menu? Could someone clarify how I do that?

                    Please share! Did you figure out how to access Sp5420 or did you find another method? This isn't a common request, but I can see running into it down the road.

                      sure, It seems its the same as many other Ricoh Mp's

                      I pressed the Yellow interupt button, pressed 1 , 0 , 7 and then held down the red cancel button.

                      This took me to the SP menu, click the main settings option and scrolled down to SP5420 as mentioned in other posts.

                      Went through the options, ie copier, scanner etc and altered all except the scanner option to '1' when you change it to one you have to press the hash (#) button otherwise it won't work.

                      Then came out and violla, it worked.

                        Hello again,

                        I've run into a very slight issue with my setup, its all now working perfectly well except I have one user who gets a response telling her she does not have the privaleges to use the scanner.

                        I've logged in with 7 other accounts and all work fine, its just this one user.

                        I've checked her account in active directory for anything untoward and it is all fine.

                        Where should I begin looking to find the cause?

                          So I assume the user can log in.

                          I had a similar issue where there was a manual entry in the address book for a user and when they authenticate with the AD the address book gets populated with information from the AD automaticly and this was causing the issues as there where now 2 entries and "you do not have privileges to use this function" error.

                          The fix was to delete all entries of the user from the address book and try again.

                          With Win Authentication the address book is populated by the AD.

                          Hope that makes sense

                            yes, the log in seems to work, just the privlage isn't there for that user. I kind of understand what you're saying, how would I check?

                              Through User tools go to the address book and delete any entries of the user that can not scan. Then try logging in and scanning with that user again.

                              If that doesn't work check the address book entry for that user and see if the privileges are enabled for scanning. From memory those entries are greyd out and can not be changed but it might give you an idea of the issue. Also compare with others, if all looks OK then it might be something on the AD side.
