E-mail and I-Fax through E-mail server
1.Make sure you have all of your TCP/IP information set up (IP address, Subnet Mask, Gateway, DNS Server (if one), Host Name, and Domain name of your Domain) before you begin. 2. Enter into the Network Settings and Select E-mail/I-Fax.
3. If you are setting this up for SMTP (Simple Mail Transport Protocol) to send E-mail and I-Fax, enter the IP address or Fully Qualified Domain Name (FQDN) of your mail server in the SMTP Server section. For example: mail_server.organization.company.com. Then enter the email address that will be the default sender in the SMTP Address field.
4. If you use POP3 and want to receive e- imageRUNNER mail and I-Faxes, fill in the IP address or FQDN of your POP3 server and the account added for the imageRUNNER-iR. The password is optional and needs to be entered if set on the e-mail account of the imageRUNNER-iR. Set the POP interval (how often the machine will log in and check for mail).
5. Reboot the device.
* Note - AUTHENTICATION ISSUES -
-If the SMTP mail server requires authentication for sending email, enter Encryption/Authentication login information (SMTP authentication via a username and password).
- For the models that do not support SMTP authentication, the administrator will need to set up a SMTP Relay.

Setting Up Email Services on the imagePASS:
When the imageRUNNER is connected with an imagePASS controller, you have 2 options for setting up email services: 1. Using the imagePASS's email capability - Enable and configure Email Services through Setup on the imagePASS and send email using the imagePASS's interface (select Scan Job option). This option will have access to the Fiery Address Book on the imagePASS. This method is what is further explained in this article.
2. Using the optional Universal Send Kit - Must install the appropriate Universal Send Kit. Configure Email Services through Additional Functions, System Settings, Network Settings, E-mail/I-fax Settings on the copier LCD screen. You can send email using the Send tab on the copier LCD screen and the imagePASS will allow the email packets sent from the copier to pass through. This option will have access to the copier's Address Book.
Setting Up Email Services on the imagePASS :
In order to have E-mail and I-Fax capabilities, you must first enable E-mail Services at the imagePASS:
- Select Run Setup. Confirm that you wish to enter Setup mode by hitting Yes.
- Select Network Setup.
- Choose Service Setup.
- Hit Email Setup.
- For the 'Enable Email Services' prompt, select Yes.
- Follow the prompts, entering the required information to configure the email settings (see the attached PDF for more information).
- Save your changes and exit Setup mode.
This option enables the imagePASS to use Email or Internet Fax as a means of communication for a variety of purposes, including printing PostScript, PDF, and TIFF files, and sending scanned files as an outgoing Email or Internet Fax.

To Scan an Original and Send it as an Email using the imagePASS :
- Select Scan Job from the imagePASS menu
Load your original(s) in ADF or on platen glass. - Hit Source and enter your desired settings:
- Document Source (ADF or Platen)
- Original Size
- Orientation
- Sides (Single or Duplex)
Press Image Options and enter your desired settings:
- Color Mode (Color, Gray Scale, or Black and White)
- Image Mode (Text, Image, or Text/Image)
- Background Removal
- Brightness
- Resolution
- Binding Direction (Left Side or Top Side) - Hit Destination and select Add Destination.
- Choose Send to Email (this option will not be present if Email Services was not enabled in Setup).
- Press Select Address.
Pick New Address and manually enter the email address to send to, or pick Fiery Address Book to choose the email address to send to. - Select Configure Email and enter your desired settings:
- Send Doc As (Attachment or URL)
- File Format (PDF, TIFF, or JPEG) - Hit Start Scan.
- Enter the Filename.
- At the Start Scan Now prompt, select Yes (this will start the scanning of the send job).

I’m the new IT guy for a firm and have a problem with the IR 5870u they are using. The issue is that folks want tot scan to email. I’ve tried statically assigning an IP as well as using DHCP. I have checked and re-check all general setting and everything checks out. The printer can ping everywhere both internally and externally. We are not using WINS anything but I still get an error. Any suggestions?
You can set up each user with a scan folder on there workstations
Browse out from the machine, create the file path as follow.
You will just need the user name and password to get into the contents of each workstation
when your browsing from the machine to the workstations.
Its a lot easier to set up.
SMTP creditials must be on point.

No luck...I tried setting up a folder on my workstation and tried linking the file to my machine. I got another TX error report. I also tried setting myself up on a mailbox account to see if it would detect me that way but got the same result. But to answer your question, YES we are running out own SMTP server.Comment

No go...I checked to see and we are not using Image-pass. I spoke with canon support and they informed me that we have the Universal Send-kit.Comment

Email Send Function Fails Even though the Email Settings Seem Correctly Configured
The email send function fails even though the Email Settings on the copier are correctly configured according to the Network Administrator. The correct Fully Qualified Domain Name (FQDN) for their email server has been typed in for the SMTP Server setting. The Administrator can Ping this email server by its FQDN and by its IP address from any of his computers.
The imageRUNNER cannot resolve the email server's FQDN into its valid IP address. The computers on the network can Ping the email server by its FQDN because they can resolve the FQDN to the server's IP address. The computers are either configured to use a DNS server or may have a mapping for the email server configured in their local HOSTS file. The copier does not have a HOSTS file to edit on it. The copier will need to be configured with the IP address of the network's DNS server. If a DNS server is not available, the SMTP Server setting on the copier can be set as the IP address of the email server instead of its FQDN. This will eliminate the need to resolve the name (as the IP address will be known by the copier).
Also make sure that the domain name for the domain the SMTP server serves is set in the DNS settings under Domain Name. If the Domain Name is incorrect, the most common error code in the Send job log will be #752. The domain name must match your customer's email FQDN. For example, if your customer receives email at 'jsmith@xyzcorp.com' the FQDN is 'xyzcorp.com'. If the imageRUNNER is connected to an external Feiry controller the Domain Name must be set on the external controller.
With some email servers if the Subject field for document being sent via e-mail is left blank, the transmission of the e-mail may fail. Populate the Subject field by accessing the System Settings > Communications Settings > E-mail / I-Fax Settings
Note:Currently, some of the Canon Universal Send devices do not have the ability to authenticate with an SMTP Server. There is no option in the copier’s settings to enter authentication information for SMTP.If the SMTP Server is configured to require authentication for outgoing mail, the Canon device will not be able to send mail. The Network Administrator will need to change the settings on his SMTP Server to work around this issue (ex.
Grant the RELAY privilege to the individual IP address of the copier).
Troubleshooting E-Mail Connectivity with the iR Series
Another option is to test out the functionality of the SMTP and POP3 servers is to use Microsoft Outlook Express. If you are able to send (SMTP) and receive (POP3) using Outlook Express, then there should be no issues connecting with the imageRUNNER.
If using Microsoft Outlook, you can configure your connection with two different methods. You can configure a Corporate Connection which only communicates to the e-mail server internally and does not use SMTP or POP3 to communicate, or you can configure it for an Internet Connection which does use SMTP and POP3 to communicate.**Knowledge is time consuming, exhausting and costly for a trained Tech.**Comment

Whats the error code? Check under system monitor and hit one of the jobs you sent, hit details, there should be a code associated, #xxxx
Where are you setting up your configurations at on the machine?

Daft Question, but do you have a Universal Send Kit installed, (Sorry need to ask, if not, you have no chance of doing this)
Also..
Have you set up the Email/iFax settings on the device
Reading everything else, it looks and reads like you havn't enter these settings
{*) > System Settings > Network Settings > Down to Email/Ifax Settings
Enter either the IP address of the your exchange server or the name (I always found the IP Address works better, but both will do the job)
Give the machine a emaill address IE NoReplyCanon@what ever.com
Press Done, and back out (Yellow key)

Setting up and trouble shooting Scan to email
The following information must be entered in the machine and must be correct.
1- SMTP server can name ( mail.myisp.com ) or ip address
2- Default Gateway
3- DNS server address
4- A valid email address must be assigned to the machine put the address in both the
machine address and the administrator address locations
5- If they are on a Domain put the domain in the DNS Domain ( mycompany.com )
After entering all of the above correctly reboot machine, and test.
**The above assumes that your machine is already on the network and you can print and
brows to it, and the SMTP does not require Authentication.
TROUBLESHOOTING EMAIL ISSUES>
If this is a new set up,
1- verify your information with the IT person and confirm the SMTP does not require
Authentication
2- On most of the newer machines you have a PING function built into the machine, go
to the network tab then scroll to the last screen, the Ping function is found under the
Details tab. Enter the SMTP exactly the way you did when it was entered above and
choose confirm.
If ping was successful, then you know the machine has the ability to reach the server,
confirm the from address was entered correctly, if yes confirm, Authentication is not
required.
If ping was unsuccessful, confirm that name resolution is working , do this by pinging
the computer name of any PC on the network. If unable to ping computer name confirm
DNS address, do an ipconfig /all on a nearby PC and confirm settings. If they have a
WINS server add it under the SMB settings this should not be necessary but I have seen
instances where this solved the problem.
3- If the SMTP is outside of the local network, the router or domain controller may be
preventing access to the internet. Confirm this by pinging any know internet address like
Yahoo!.
If unsuccessful >to rule out the router set the machine for DHCP reboot
and let the machine take an address from the router/dhcp server. Confirm all the other
settings and test again. If successful then you must have the IT person assign an
exception for the machine in the Router Firewall or assign an isolation for the machine by
MAC Address.
4- If the above made no difference, confirm the Domain name is correctly entered, some
machines have more than one place to enter this information. Often the IT person will
give you the name of their Domain controller and not the actual domain name like yes we
have a domain the name is mycompany, when you do an ipconfig all you will notice the
actual domain is mycompany.local .
5- Once you are certain you are reaching the SMTP and not accessing it confirm Port
number and Authentication requirements
The above information should be enough to solve most Scan to email issues or at least
point you in the right direction. If the SMTP requires authentication all of the above

To scan in a document and send it to an email address:
1) Place the originals in the feeder and press the SEND button and specify the destination.
2) Press the SEND SETTINGS and press SEND DOC. NAME to add a name to the document being sent and press OK.
3) Press SUBJECT and enter the data to the subject line and press OK.
Note: The subject may be up to 40 characters.
4) Press MESSAGE and enter a message body and press OK.
Note: The message body may contain as many as 140 characters.
5) Press REPLY TO and select the reply-to-address and press OK, then press DONE.
6) Select the file type of the image from the drop down list. Here you may choose between TIFF, MTIFF, JPEG or PDF.
7) Press START and the process will begin.
* Note - The imageRUNNER C3200, C3220, C3100, C3170, C2620, C5800, C6800, C5870U, C6870U, C4080, C4080i, C4580, C4580i, C5180, C5180i, 2270, 2870, 3570, 4570, 5070, 5570, 6570, 8070, 9070, 105+, 7105, 7095, 7086 models, and all newer models now support SMTP authentication via a username and password.
If there is an issue with the available SMTP Server that prevents the Canon device from sending out Email, the customer can install a SMTP Mail Forwarding program on a local PC as a workaround. The PC running the SMTP software will act as the Canon device's SMTP Server. It will forward or relay the Canon device's outgoing Email to the outside world. This PC will need to have the ability to reach the Internet. The Canon device will need to have its SMTP Server setting configured to the IP address or hostname of the PC running the SMTP software.
* Note - If the site's gateway to the Internet is filtering outgoing traffic (using access lists, firewall, etc) (blocking SMTP traffic - port 25), these workarounds still may not work. The outgoing Email traffic may be stopped at the gateway or at any point in the site's network where traffic filtering is occurring.
* Note - Certain Internet Service Providers are now blocking port 25. They have chosen to do this in order to cut down on the amount of SPAM mail that is sent. All Email sent via the Internet is routed through port 25, the channel used for communication between a mail client and a mail server. This filter can create problems for Email servers and block legitimate Email as well as SPAM. You can check with your ISP to see if they are doing this.
* Note - If your Canon device will be sending out a high volume of daily Email through your SMTP Server program on the PC, this may not sit well with your ISP (especially if the customer is registered for a home account, not a business account). Internet Service Providers monitor the traffic on their networks. If they notice a large amount of SMTP traffic coming from your node, they may contact the customer. Depending on their service agreement, they may want to stop or reduce this traffic.
Various SMTP software solutions are available. Many can be downloaded from www.download.com . The following 2 solutions were tested in a lab environment and functioned correctly. These are just examples and are not supported by Canon.
I. PostCast Server - This is a 3rd party SMTP mail server program that can be run on Windows 95, 98, Me, 2000, NT, or XP. It is currently offered as freeware (license is free). You can get more information on this software (and download it) at PostCast Server - Free SMTP Server. This application is not supported by Canon.
II. Microsoft Virtual SMTP Server (IIS) - When IIS is installed on a Windows 2000 or XP PC, you can choose to install an optional SMTP Service. This allows you to configure a Virtual SMTP Server on this PC via IIS.**Knowledge is time consuming, exhausting and costly for a trained Tech.**Comment
