    SMTP - Can get reports through but not scans

    Hey guys,

    I've got a machine going through a google SMTP.

    Pretty much I got the email settings to all test OK and was able to get the machine to send a report through to my email from the report/notification settings but I haven't had an actual physical scan come through (machine hasnt errored).

    I know its most likely something to do with my email but just thought I would see if anyone else has had this problem before.

    Make sure 2 factor authentication is on and an app password is set up for MFD.

    Also make sure that the sender name is the same as the email address for the account.
    Networking skills are advantageous but use of a 3m vacuum cleaner is essential

      google the issue you are having. you will usually find a fix that way.

        Do you have all the proper settings set up? StartTLS
        TLS checked in the network security.
        Hash checked in the same place
        port 587
        smtp.gmail.com
        username
        App password generated from the account after 2 factor is turned on and all recent changed to the account have the "It was me" button clicked
        Dns set properly
        When you say you had the reports working, You are talking about the setting that allows you to have an automated report sent to an email address you sent? I believe those are separate from scan to email.
        All of these should be done in the command center, the only other place I think you might be able to set these properly is maybe with netviewer.

          Google and Yahoo have made some changes recently. You may need to get an updated SPF record, DKIM and or DMARC for the domain. If you have another option to test with, this would confirm it. If you're not getting an error on the MFP, the SMTP server received it, but is unable to send it on. That's what we've seen happening anyway.

            For some of my smaller customers (that pay on time and are nice folks), I have been suggesting that they make a free zoho mail account. I then put in the credentials for them for a small charge with the written understanding that my company and I are NOT responsible if this stops working. So far it seems to work and there is no 2 step authentication (as of yet). I use the following credentials:

            Account Name: ??????@zohomail.com

            Password: xxxxxxxx

            SMTP Server: smtp.zoho.com

            Port: 587

            SMTP Security : STARTTLS

            I will no longer make an account for a customer. I also explain how email overall is changing and how really insecure it is. I also show the customers how to use a memory stick for scanning and some have switched to using that.

            Oh yeah, to me the email test button in the Kyocera Commend Center is helpful but mostly glorified ping. It let me know I'm 90% there. I always test it by sending a scan to email and see if it gets to where it is supposed to go.

            For people I really don't like and don't pay well, I suggest they get a free account with Yandex Mail. ....just kidding

              Do they have a company Google account or are you using a personal account, like maybe your own. If it is yours you are asking for major legal problems. They need to be using an account that belongs to the company and has enough sub-accounts for every employee. That can be either with their ISP or paid for from Google or whomever provides their website if they have one. If they go with their ISP or website host, the support for there will have documentation on setting up.

                YES, this is what I've been seeing in accounts that are using a certain local internet provider. At first they just stopped going through, then after a week the machine said they were completed but weren't showing up. A week later they are showing up but going to junk folders, and even if the recipient marks it as not junk it will continue to send them there. Weird.

                  More than likely the "Local Internet Provider" is using Microsoft Exchange if you need more than 10 addresses for employees.
