    Email notification set up on Ricoh MP301

    I am an IT pro at a small law firm, and am managing a 1 yr old or so Ricoh MP 301. Yes, it is an older model, but it was new to us. I am new to managing these printers, but would like to have it send me emails to tell me when issues arise. I am setting up the printer to talk to our MS365 account using my email, a global admin, but I keep getting errors. Ive been trying to do this for about a year or so. Ive tried both my ms365 and a gmail account and it doesnt work. I have been following the directions in the manual (https://support.ricoh.com/bb_v1oi/pu...tm?&seek=Email) and having a hard time getting this to work.

    After some searching, I found this link (https://community.spiceworks.com/t/s...ters/304574/14), and this link (https://kb.gsd.ricoh.com/app/answers...-does-not-work), and this is what I was able to come up with for settings for email in the printer:

    Admin email: myemail@lawfirm.com (not my actual address, ofc)

    Signature: From your printer

    Email reception protocol: SMTP

    Email Reception Interval: on, 5 min

    Max Reception Email Size: 9mb

    Email Storage in Server: All

    SMTP Server Name: smtp.office365.com

    SMTP Port: 587

    SMTP Authentication: On

    SMTP Auth. Email Address: myemail@lawfirm.com

    SMTP Auth. Username: myemail@lawfirm.com

    SMTP Auth. Password: (my actual password)

    SMTP Auth Encryption: Auto Select

    I created an app password based on the 2nd link's advice. Either way, I am getting the same error.

    At the moment, I am getting the following after I hit save:

    Error

    Wrong parameter.

    Reset the correct parameter.

      The first thing to do is setup and test scan to email. If it is not functioning, there is no way that email notification is going to work. Everything in the information from Ricoh about setting up email notification uses the settings from scan to email to include the email administrator account, needs to be an actual account on the Office 365 service, and the address book destinations. Haven't done one in a few years but as I remember you can setup 3 different destinations, each with a different set of items that they will be notified on. When setting up scan to email leave pop before sending OFF unless you want the MP 301 to receive and print all emails sent to the email account used to authenticate. The best setting for maximum email size is 25MB as this is now the standard for most SMTP servers for incoming attachments. This is important if they plan to use scan to email especially especially anything other than straight text.

        You don't need to use / change any reception settings as you will only be sending email (not receiving)

        These are the settings different to yours on our office Ricoh that send OK.

        As slim said get the device sending email first then send up the email notification side.

        I assume you have the correct gateway & DNS set in the device.

        Also at the device you can do a SMTP connection test that's a good place to start.

          i agree with both posts above me. also be mindful of that office365 might try to flag it as spam. under the admin settings, set the default subject to say: name of your business. being IT, im sure you know email doesn't like it much whenever the subject line is left blank.
