    Scan to email not working all kyocera

    I used Comcast Email to scan through, getting 1102 errors no matter what i do. so i thought i would try Gmail same issue. I called tech support they told me to generate a Pass Key for each machine, so i followed their suggestion, but when i go to google and login click on security tab and try to generate a Pass Key it says you cant on this device.. going crazy here. thanks in advance for your help!!!

        With most of my small business customers, I usually get the customer to make a gmail account to use just for the machine to scan to email.

        After they make the account, I will usually walk them through doing the two-step app thing over their shoulder. Then I configure the email in the machine for the gmail account with app password.

        In some ways it is easier to do this remotely.

          First start by updating the firmware, this can resolve many security issues with scan to email / SMB.

            I've been told by more than one IT company that scan to email is going away, best to set up scan to folder. While I set up printing all the time, scanning is a bit more complicated and we have a guy for that. All copiers use SMB protocols, but apparently the entire world wide web is slowing switching to SSH protocols, which are causing issues. I know for a fact depending on what they are using that some places are experiencing all emails going to junk folders, even if the recipient marks it as not junk.

              Setting up a client with scan to email has become problematic over the past couple of years with many major mail providers pulling the plug on SMTP altogether. Those that remain no longer accept unauthenticated traffic and in the case of Gmail this requires 2FA and an app password. Office 365 pretty much needs the user to have a static IP. We generally handball difficult ones back to the clients IT support but sadly so many of these companies are useless.
              From the copiers perspective, ensure all the security protocols are turned on and that there is a subject in the copiers subject Box. If there is no subject the emails from the machine may go into spam or the originating IP may get blacklisted.

                i recommend using smtp2go. that is a good email server to use. though you do have to pay. i haven't set it up on a kyocera. but it works on all of the brands that we sell. also while setting up the info under the email server settings on the kyocera. there should be an area to create a default subject line. generally, i put the business name in the line. i usually just put: from ... followed with the business name. a lot of the emails flag it because it has no subject line. just as stated above this message.

                  Make sure your device’s operating system is up to date, your screen lock and bluetooth are enabled, and that you’re using a supported browser like Chrome. Learn more
                  i made sure both a
                  re done. WTH is with this???? I have tried on several desktops with the same issue. 2 Step is turned on, Please help before i do something drastic.. LOL

                    I think you have “App Password” and “Passkey” mixed up. You need to create an app password. In your gmail use the search term “app password” It will take you straight to it.
                    Gmail SMTP Details

                    Server: smtp.gmail.com
                    Port: 587
                    Encryption: STARTTLS
                    Create an App Password for Gmail
                    You must have 2-Step-Verification enabled before setting up an application password. (See below on setting this up)
                    1. Visit your App passwords page. You may be asked to sign in to your Google Account.
                    2. At the bottom enter you own custom app name.
                    3. Click Create.
                    4. Be sure to copy the password that was generated. When using the password, do not use spaces.
                    Enable 2-Step Verification for Gmail
                    Gmail allows you to enable 2-step verification as an added security feature for your account.
                    1. Log into your Gmail account. From your Gmail Inbox, click your initial or picture icon in the upper right-hand corner of the page. The Account drop-down window will open. Click Manage your Google Account.

                    2. The My Account page will open. Click Security.

                    3. The Security page will open. Scroll to the How you sign into Google section. Click 2-Step Verification.

                    4. Review the overview of 2-Step Verification. Click Get Started.
                    5. The Let's Set up Your Phone window will open. Select Text Message or Phone Call as your preferred way of receiving a verification code.
                    6. Enter a phone number in the What phone number do you want to use? field and select the country of origin for the phone number from the Flag icon drop-down menu. Click Try It. A verification code will be delivered via text message or phone depending on your preference. You need this code to complete the 2-Step verification process for the first time.
                    7. The Confirm that it works page will open. Enter the verification code that you received via text or phone on the Enter the code line. Click Next.
                    8. The It Worked! Turn on 2-Step Verification? page will open. Click Turn On.

                      The easiest way to get to where app passwords are created is to log into your desired gmail account then:

                      paste into browser https://myaccount.google.com/apppasswords

                          Google appears to be moving away from App passwords. When you go into your Account Settings, in the top is a search box. Type "Password" and you will see App Passwords in the search. They have removed it from the security page....

                          These copier companies need to get this MFA crap sorted out. They are falling behind on the security for SMTP.

                            In my experience it has been this way for a while now. Thankfully app passwords will be a viable solution for the foreseeable future.

                              When we sell a machine we sell it with PinPoint Scan. Takes the head ache out of a lot of email and scan setting. You load it on the machine and then the app on the computer. Works with Outlook, scan to folder, One Drive, My Documents or you can set a network drive to scan to.

                              Each person has their OWN Pin # that is connected to their computer.
